Position: Executive Assistant to Executive Leadership
We are seeking a highly organized, proactive, and solution-oriented Executive Assistant to support Caribou Biosciences' Executive Leaders and their respective teams. This role requires a skilled professional who can manage multiple priorities, problem-solve effectively, and serve as a trusted point of contact for the executive's direct reports and broader team. The Executive Assistant will play a pivotal role in ensuring seamless day-to-day operations while contributing to company-wide initiatives and collaborating with other administrative staff.
The Executive Assistant will report directly to their assigned Executive Leader(s) and will support additional leaders as requested. This role requires regular on-site presence at our Berkeley office, as determined by the leader and team needs.
Key Responsibilities:
- Provide executive support to assigned Executive Leaders, including support for Vice President-level leaders.
- Serve as the primary point of contact for team members, ensuring clear communication and facilitating team needs as they arise
- Extensive calendar and travel management, including proactive scheduling adjustments, logistical coordination, and expense report preparation
- Anticipate executive and team needs, ensuring the smooth operation of both strategic priorities and day-to-day activities
- Interface with the executive team, Board of Directors, consultants, scientific advisory boards, and other key stakeholders
- Collaborate with internal teams and external partners to coordinate business meetings, conferences, and company events
- Manage CLX/contract administration for vendors, consultants, and partners, ensuring accurate tracking and documentation
- Provide project management support for events, conferences, and other business needs, ensuring timelines, budgets, and deliverables are met
- Partner with cross-functional teams to support company-wide initiatives such as onboarding, corporate events, and team-building activities
- Attend Executive Assistant/Admin team meetings to collaborate, share best practices, and support group projects, events, and team goals
- Provide backup support to other administrative staff during absences or peak workloads
- Assist with project management, follow-up on assigned initiatives, and coordination with internal and external stakeholders
- Support the preparation of presentations, reports, and meeting agendas as required
- Maintain confidentiality and professionalism in all interactions
- Other duties as assigned
Qualifications:
- 7+ years' experience supporting Executive Leaders in small- to mid-sized companies, preferably in the life sciences or biotech industry
- Strong problem-solving skills with a solution-oriented mindset and ability to take initiative in resolving issues
- Ability to build strong partnerships with team members, leaders, and administrative peers
- Excellent organizational skills with the ability to manage competing priorities and rapidly adjust to changing business needs
- Proficiency in Microsoft Office Suite, Google Workspace, Zoom, and other video conferencing and expense management tools
- Ability to proactively manage responsibilities, taking initiative with minimal supervision
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment
- Excellent written and verbal communication skills with a high level of professionalism
- Experience managing schedules across multiple time zones and coordinating logistics for both virtual and live meetings
- Flexibility to work onsite regularly, including before and during executive onsite days, and willingness to travel as needed
- Experience with CLX/contract management, project coordination, and planning business events
Desirable:
- BA/BS degree or equivalent
- Familiarity with scientific and/or medical terminology
- Experience supporting advisory boards, conferences, or investor meetings
Caribou compensation and benefits include:
- Comprehensive compensation package, which includes competitive salary, bonus, and equity for all employees
- Salary Range: $120,000 to $133,000 - This represents the present low and high end of the Company’s pay range for this position. Actual pay will vary based on various factors, including but not limited to location, skill, experience, and performance.
