- Proactively and accurately manage heavy calendars for the CFO and assist the broader G&A team with complex scheduling as needed, including coordination of board and audit committee meetings
- Triage and reply to emails, Lattice tasks/Google comments, Slack channels; manage CFO’s inbox and ensure timely follow-ups
- Coordinate speaking engagements and conferences for the CFO, ensuring all logistics, travel, and briefing materials are managed smoothly
- Manage international travel, including visa requirements and detailed itineraries
- Provide end of day briefings to the CFO to prepare for the next day’s priorities.
- Track key meetings, external events, and conferences to provide the CFO with internal visibility and ensure all details and logistics are seamlessly managed
- Plan and execute team meetings, events and offsites; including the coordination of agendas and materials, budgets, logistics, hospitality and more
- Approve expenses, travel and time off requests for your Executive’s direct reports
- Maintain a pulse on the sentiment of the organization serving as a liaison between your Executive and their team
- Contribute to projects on the Executive Assistant team
The Team You'll Work With
We are looking for an Executive Assistant II (EA) to join our team and support our Chief Financial Officer and SVP of Finance. This person will be part of a centralized EA team, reporting to the Director of Brand & Operations for the Office of the CEO, and will work closely with the EA team, the Finance team, and the broader leadership team at Carta.
Carta’s EA team is small and wears many hats. We work autonomously for our executives—handling scheduling, meeting preparation, travel, expenses, and projects—while also collaborating as a team on broader initiatives such as events, offsites, hiring, training, and best practices. We operate within a hybrid model, with team members based in offices across New York, Sandy, and San Francisco.
About You
You are a roll-up-your-sleeves, “get in the weeds,” individual that has experience supporting senior leaders in a fast paced startup environment. You are incredibly detail oriented, thoughtful, strategic, and proactive. You can block and tackle for your Executive and navigate ambiguity. You know how to find common ground with leadership and peers alike to build relationships. You are professional and eager to learn about the business, and collaborate with fellow EAs on impactful projects.
We believe you will be successful in this role if you have:
- 7+ years of Executive Assistant experience supporting a senior leader in the C-suite, preferably in the technology or banking industry
- Experience coordinating board and audit committee meetings
- Heavy calendar management and international travel coordination experience
- Ability to effectively multitask and prioritize on a daily basis
- Excellent written and verbal communication skills
- Ability to commute to our SF office 3 days per week (required)
Salary
Carta’s compensation package includes a market competitive salary, equity for all full time roles, exceptional benefits, and, for applicable roles, commissions plans. Our minimum cash compensation (salary + commission if applicable) range for this role is: $151,300 - $178,000 in San Francisco. Final offers may vary from the amount listed based on geography, candidate experience and expertise, and other factors.
