
Executive Assistant to the CEO
About the Role
We are seeking an exceptional Executive Assistant who will provide a wide range of administrative, functional and operational support to the CEO. This is a highly visible, fast-paced role for someone who is proactive, organized, and thrives in a busy environment. You will play a critical role in maximizing the CEO's effectiveness by managing priorities, anticipating needs, and ensuring seamless day-to-day operations.
The ideal candidate is resourceful, detail-oriented, highly discreet, and comfortable juggling multiple priorities while maintaining exceptional standards of professionalism.
Key Responsibilities
- Manage the CEO's complex calendar, prioritizing global meetings, travel, and strategic commitments.
- Ensure the CEO has appropriate materials and remains aware of shifting priorities at all times.
- Coordinate domestic and international travel, including flights, accommodations, transportation, visas, and detailed itineraries.
- Prepare meeting agendas, presentations, briefing materials, and follow-up action items.
- Serve as the primary point of contact between the CEO and internal and external stakeholders.
- Coordinate board meetings, investor meetings, executive leadership offsites, and company events.
- Track key initiatives and deadlines, ensuring projects move forward and stakeholders remain accountable.
- Handle confidential information with the highest level of discretion and professionalism.
- Assist with expense reporting, document management, and administrative processes.
- Partner closely with the executive leadership team to improve operational efficiency.
- Anticipate the CEO's needs before they arise and proactively solve problems.
- Manage the logistics of the day to day running of the NYC office, including internal and external visitors.
Qualifications
- Experience supporting a CEO, founder, or C-level executive preferably in a high-growth or technology/SaaS environment.
- Exceptional organizational and project management skills.
- Outstanding written and verbal communication abilities.
- Strong judgment and the ability to make decisions independently.
- Ability to manage competing priorities while maintaining attention to detail.
- High emotional intelligence and professionalism.
- Advanced proficiency with Google Workspace, Microsoft Office, Slack, Zoom, and calendar management tools.
- Experience coordinating complex travel and executive schedules.
- Comfortable working in an office five days per week when the CEO is present.

What Success Looks Like
In 6 months time…
- The CEO's calendar runs itself. Complex global scheduling, travel logistics, and board/investor coordination operate proactively.
- Shifting priorities are absorbed without friction and the CEO is never caught without the right materials or context ahead of a meeting.
- The CEO's attention is protected. You've built a clear system for triaging stakeholder requests, filtering what reaches the CEO and what gets handled or redirected, thereby reducing interruptions and creating genuine space for strategic focus.
- The NYC office runs smoothly without being managed. Day-to-day office operations, visitor logistics, and internal rhythm are structured and self-sustainings.
- You are trusted by the executive team. The ELT treats you as a reliable operational partner, not just an EA. You're looped in early, your judgment is relied on, and you handle sensitive information without it ever becoming a concern.
- Projects and commitments don't fall through the cracks. You've built a tracking system for key initiatives and deadlines that keeps stakeholders accountable and ensures the CEO has visibility on what's moving and what isn't.
- You're consistently one step ahead. The CEO rarely has to ask for something twice. You've developed a strong enough understanding of priorities, preferences, and working style that you're solving problems before they surface.
Compensation & Benefits
The target Total Compensation range for this position is $86,000 and $136,000. This range is inclusive of base salary and a target incentive plan (which may include equity, commission, or other bonus structures).
Your specific compensation within this range will be determined by factors such as your geographic location, relevant experience, and job-related skills.
