Administrative Specialist - CAO
We have an opportunity to join the Alliance as an Administrative Specialist, supporting our Chief Administrative Officer (CAO) in the Employee Services and Communications Division. While this role can work primarily from home, monthly meeting support is required at our Scotts Valley office as well as onsite event coordination for our All-Hands meetings.
WHAT YOU'LL BE RESPONSIBLE FOR
This position performs multiple, high-level administrative functions in support of the Chief Administrative Officer (CAO), Division leadership, and Division operations by acting as the primary administrative contact and staff support for the CAO, including overseeing the CAO’s calendar, and planning, coordinating and scheduling meetings and travel for the CAO and assisting with operational initiatives and efforts, providing administrative support on projects, and assisting with project coordination. This role also supports other departments within the Employee Services and Communications Division through dotted line reporting relationships and coordinates and supports various standing committees and ad hoc meetings.
This position with lead the planning, coordination and execution of division-wide initiatives and projects, including the United Way Employee Giving Campaign and will also lead the planning, coordination and execution of the Annual Employee Food Drive and the Season of Giving Food Drive, in coordination and with oversight from the Human Resources Director. This role will work through dotted line relationships to Marketing and Communications as well as Talent Acquisition on content creation related to company updates and related postings to social networks and websites, such as LinkedIn and Glassdoor, while ensuring consistent alignment with the Alliance brand.

- Knowledge of:
- General administrative procedures and the methods of providing executive level support
- Principles and practices of meeting coordination and scheduling
- Ability to:
- Develop a thorough understanding of the roles, organization, policies and procedures of the Employee Services and Communications Division
- Exercise independent judgement in the absence of specific direction
- Effectively prioritize multiple tasks and deadlines and administer competing operational priorities
- Education and Experience:
- High school diploma or equivalent
- A minimum of five years of progressively responsible administrative support experience, including a minimum of three years performing executive level administrative support
- An Associate’s degree may substitute for one year of the required experience); or an equivalent combination of education and experience may be qualifying
OTHER INFORMATION
- We are in a hybrid work environment and we anticipate that the interview process will take place remotely via Microsoft Teams.
- While some staff may work full telecommuting schedules, attendance at quarterly company-wide events or department meetings will be expected.

The actual compensation for this role will be determined by our compensation philosophy, analysis of the selected candidate's qualifications (direct or transferrable experience related to the position, education or training), as well as other factors (internal equity, market factors, and geographic location).
Zone 1 (Monterey, San Benito and Santa Cruz)
$67,400 - $107,848 USD
