
Executive Assistant
The role in a nutshell:
We are looking for an exceptionally organized, detail-driven, and proactive Executive Assistant to partner closely with our SVP of Engineering and Chief Information Security Officer (CISO). In this critical role, you will be the backbone of our security and engineering organization—keeping operations running smoothly, optimizing daily workflows, and facilitating seamless collaboration across teams.
The ideal candidate excels in fast-paced environments, demonstrates outstanding administrative skill, and brings a clear understanding of supporting multifaceted technology leadership. You are someone with robust communication abilities, a knack for multitasking, and a commitment to confidentiality and professionalism.
What you'll do:
Executive & Administrative Support
- Strong interpersonal skills and the ability to build positive working relationships with key stakeholders
- Collaborate closely with the Engineering and Security & Technology Chiefs of Staff to support execution of key department initiatives
- Manage complex calendars, including scheduling meetings, prioritizing appointments, and coordinating travel arrangements for the SVP of Engineering and CISO
- Handle sensitive correspondence and email communications, prioritizing and responding on behalf of leadership as needed
- Maintain and organize digital files in Google Workspace, always ensuring security and confidentiality
- Prepare expense reports for the SVP and CISO, and review/approve reports submitted by their direct reports
- Offsite event planning, hotel coordination, restaurant reservations, meal delivery, etc.
Meeting Coordination
- Schedule and coordinate meetings, including executive team sessions, planning reviews, and cross-functional discussions
- Collaborate with external partners and their executive assistants to arrange meetings with customers or partners
- Prepare meeting agendas, record minutes (when not using AI-assistance), and track action items to ensure timely follow-up
- Oversee meeting logistics: securing spaces, arranging catering, and facilitating technical support
Travel Management
- Plan and coordinate comprehensive travel itineraries for executive leadership, including flights, accommodations, and ground transportation
Special Assignments
- Take on special projects and ad hoc tasks as requested by the SVP or CISO, and/or their respective Chiefs of Staff, delivering high-quality and timely results
What we're looking for:
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred)
- At least 5 years of executive administrative experience, ideally supporting technology leaders
- Exceptional organizational and time management skills, with an ability to comfortably juggle multiple priorities
- Superior written and verbal communication skills
- Advanced proficiency in Google Workspace tools (Google Docs, Google Calendar, Gmail)
- Experience using AI-powered tools or platforms to enhance administrative efficiency, such as automating scheduling, document management, or meeting support
- Proven ability to exercise discretion and maintain confidentiality at all times
- Self-starter: proactive, resourceful, and able to anticipate needs
- Strong interpersonal skills, with a collaborative mindset and adaptability to interact effectively across diverse teams
Base Salary Range
$100,000 - $125,000 USD
