The Team

Across our work in Science, Education, and within our communities, we pair technology with grantmaking, impact investing, and collaboration to help accelerate the pace of progress toward our mission. Our Operations organization provides the support needed to push this work forward. Operations consists of our Brand & Communications, Central Tech, Finance, People, Real Estate/Workplace/Events/Facilities/Security (REWFS), Strategy & Operations, and Ventures teams. These teams provide the essential operations, services, and strategies needed to support CZI’s progress toward achieving its mission to build a better future for everyone.

The Events & Engagement team, part of REWFS, creates meaningful experiences that connect people, spark collaboration, and strengthen our organizational ecosystem. Through thoughtfully designed internal events, scientific convenings, and training opportunities, the team fosters a sense of belonging and promotes knowledge sharing across CZI and its partner communities.

Within Events & Engagement, the Meetings Team is responsible for producing over 20 mission-aligned convenings annually. These include scientific gatherings such as flagship events, grantee meetings, workshops, and hackathons that bring people together to accelerate discovery and build collaborative communities.

The Opportunity

We are seeking a Manager, Meetings to lead the team responsible for planning and executing high-impact convenings that advance CZI’s mission. These gatherings serve as strategic tools to catalyze collaboration, foster community, and accelerate progress across CZI's science. education, and technology work. This role combines strategic convening design with operational execution, requiring close collaboration with internal stakeholders and external partners.

As Manager, you will oversee a team of event professionals, guide the design and delivery of convenings from concept to completion, and ensure every gathering reflects our values of inclusion, purpose, and excellence. You will also play a critical role in scaling our systems, improving processes, and enhancing how we connect and support our growing ecosystem of colleagues, grantees, and collaborators. 

This role reports to the Senior Director of Events & Engagement and partners closely with scientific and programmatic staff, REWFS colleagues, Biohub partners, and external collaborators.

What You'll Do

  • Lead the strategy, planning, and execution of a portfolio of external-facing convenings
  • Manage and mentor a team of event planners, ensuring effective execution and professional development
  • Design convening formats that foster community, collaboration, and shared learning aligned with CZI’s mission
  • Oversee full-cycle event logistics including venues, vendors, budgets, registration, travel, and on-site execution
  • Collaborate with program, Biohub, and operational stakeholders to define goals, shape agendas, and engage participants
  • Improve systems and processes to ensure consistency, scalability, and learning across convenings
  • Gather and apply feedback and data to measure outcomes and inform future events
  • Champion inclusive, accessible, and high-impact convening practices
  • Travel up to 25%, with additional in-office presence expected during convening periods

What You'll Bring

  • 7+ years of experience leading complex, multi-day convenings
  • 2+ years of experience managing people, including hiring and coaching team members
  • Strong track record in both strategic convening design and hands-on execution
  • Expertise in vendor management, budgeting, contracting, and operational logistics
  • Excellent oral and written communication skills and an ability to partner effectively at all levels both internally and externally to CZI
  • Ability to manage competing priorities in dynamic environments with high attention to detail
  • Proficiency in Google Workspace, Zoom, and event/project management tools (e.g. Cvent, Airtable, Salesforce, or Jira)
  • Certified Meeting Professional (CMP) certification or similar credentials preferred
  • Demonstrated interest in or affinity with science and/or artificial intelligence preferred

Compensation

The Redwood City, CA  base pay range for a new hire in this role is $138,000 - $189,200. New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process.

As we grow, we’re excited to strengthen in-person connections and cultivate a collaborative, team-oriented environment. This role is a hybrid position requiring you to be onsite for at least 60% of the working month, approximately 3 days a week, with specific in-office days determined by the team’s manager. The exact schedule will be at the hiring manager's discretion and communicated during the interview process.
