The Team

The Operations team is a key partner in enabling Biohub’s pioneering work to combine frontier AI with frontier biology to solve disease and Learning Commons’ mission to build AI infrastructure that aligns how students learn with the tools that shape their learning experiences.

Operations includes our Central Tech, Finance, Marketing & Communications, People, and Real Estate / Workplace / Events / Facilities / Security (REWFS) teams. Together, these teams create the systems, programs, and experiences that empower our partners and colleagues across Biohub and Learning Commons to drive impact. 

This work requires strategic and operational rigor, creativity, and deep collaboration. Whether designing world-class employee experiences, safeguarding data and infrastructure, or shaping how we communicate our impact, Operations plays a critical role in helping deliver meaningful change at scale.

Reporting to the Finance Systems Lead, this role will play a key role in streamlining, securing, and optimizing our Procure to Pay  management processes through Workday and Coupa. You will work closely with the Procurement, Finance and Accounting Operations  teams and be responsible for gathering, analyzing, and documenting business requirements, translating requirements into technical specifications, ensuring compliance with IT security standards,  and implementing solutions. 

What You'll Do

  • Lead business requirements analysis by building strong partnerships and through collaboration:: Partner with Procurement, Finance, Accounting, and cross-functional stakeholders to gather, analyze, and refine complex business requirements; translate multifaceted needs into actionable plans aligned with enterprise objectives.
  • Drive requirements documentation and prioritization: Develop detailed business and functional requirements, including user stories and use cases; evaluate and prioritize initiatives based on business impact, risk, compliance, and technical feasibility; Create comprehensive documentation, support training initiatives, and drive adoption of systems and processes across the organization.
  • Design solutions: Translate business requirements into technical specifications. Consider out-of-the-box/best practice application configuration options.
  • Own end-to-end solution implementation: Oversee development, testing, and deployment of solutions; define integration and testing strategies, coordinate UAT, and ensure solutions meet business and operational objectives.
  • Manage projects and workstreams: Lead short- to mid-range projects with multiple dependencies and stakeholders; develop project plans, and timelines. Monitor execution and communicate progress across the full lifecycle. May guide team members, and support knowledge sharing and capability development across the team.
  • Solve complex business and system challenges: Analyze issues across programs, products, and operations; develop scalable solutions and drive resolution of integration challenges and system constraints.
  • Stay up to date with technology trends: Continuously learn new features and trends within the Workday and Coupa ecosystem, recommending potential enhancements to the system.

What You'll Bring

  • 8+ years of demonstrated, hands-on experience in Workday configuration, implementation, and support (Required) 
  • 2+ years of Coupa Procurement functional  design, implementation and support experience in a rapidly scaling organization.
  • Strong understanding of Procurement, Source -to -Pay (S2) and Inventory process.
  • Strong analytical, problem-solving, and decision-making skills.
  • Experience working in cross-functional, enterprise environments with multiple stakeholders.
  • Demonstrated ability to manage project, workstreams, and competing priorities.
  • Ability to distill and simplify complex business requests into clear and actionable projects, with a proven ability to navigate ambiguity and to persevere through project road bumps.
  • Strong interpersonal skills to establish strong partnerships with business stakeholders and technology teams. 
  • Organized, methodical, and detail-oriented, with a passion for data analysis and problem-solving, leveraging organizational awareness to empower others to accomplish project objectives.
  • Comfortable taking on additional job responsibilities as needed, demonstrated willingness to get involved in the details to achieve the team's end goals.
  • Security and compliance awareness for enterprise data management.
  • Functional Implementation Consulting experience is preferred.

Compensation

The Redwood City, CA base pay range for a new hire in this role is $171,00 - $235,00. New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. 

This position may be eligible to participate in our discretionary annual performance bonus program. Bonus eligibility and targets are determined in accordance with our total rewards philosophy and may vary by role.

As we grow, we’re excited to strengthen in-person connections and cultivate a collaborative, team-oriented environment. This role is a hybrid position requiring you to be onsite for at least 60% of the working month, approximately 3 days a week, with specific in-office days determined by the team’s manager. The exact schedule will be at the hiring manager's discretion and communicated during the interview process.
