Role Overview:

We’re looking for a sharp, trusted right hand to several Engineering Leadership team members; someone who thrives in fast-paced environments, anticipates needs before they arise, and keeps the wheels turning behind the scenes. This is a key role at a fast-growing defense tech company, ideal for someone who has supported Leadership-level employees in high-growth tech, aerospace, or defense settings.

As an Executive Assistant, you’ll be a critical force in keeping schedules, priorities, and high-level engagements running smoothly. You’ll juggle fast-moving calendars, coordinate high-stakes meetings, and make sure no detail slips through the cracks. This is more than an administrative role—it’s about partnership, discretion, and being a steady hand in a highly dynamic environment!

Responsibilities:

  • Serve as a close partner to several Engineering Leadership team members, handling a wide range of administrative and strategic support with professionalism and a sense of calm under pressure.
  • Own calendars: scheduling, prioritizing, and shifting meetings across multiple time zones with ease.
  • Coordinate executive travel and high-level meetings, ensuring every detail is covered from logistics to prep materials.
  • Draft, edit, and organize reports, briefings, presentations, and communications for both internal and external audiences.
  • Act as a liaison between these execs and key stakeholders: team members, board members, government officials, and external partners.
  • Plan and execute executive-level events, board meetings, and offsites - start to finish.
  • Handle sensitive information with a high level of discretion and sound judgment.
  • Stay on top of strategic projects by helping track action items, conducting research, and coordinating with cross-functional teams.

Minimum Requirements:

  • 6+ years of experience supporting leadership-level employees (Director & above), ideally in a high-growth tech, aerospace, or defense environment
  • Master multitasker with excellent organizational and prioritization skills
  • Confident communicator, both in writing and verbally; able to craft polished executive materials and build rapport across audiences
  • Comfortable navigating high-stakes, fast-moving situations with discretion and professionalism
  • Strong working knowledge of Microsoft Office, especially Outlook, PowerPoint, and Excel; experience with project management tools is a plus

Preferred Requirements:

  • Familiarity with the defense, aerospace, or general tech industry
  • Strong emotional intelligence and a collaborative, low-ego approach to building relationships across all level
