Role Overview:

We're looking for a Legal Operations Coordinator to join our Legal team in Washington, D.C. Reporting to the Head of Legal Operations, you'll be the team's air traffic control: keeping legal requests moving, getting work to the right person, and making sure nothing stalls between intake, approval, and signature.

This is a hands-on role at the center of the Legal team's day-to-day, on a team that's still building. You'll work with a collaborative group to strengthen the processes and tools we've already put in place, and you'll also have the room to build new ones from the ground up. It's a great fit for someone early in their career who likes structure and follow-through, wants to always know where things stand, and is looking for real room to grow.

Responsibilities:

  • Legal Requests & Triage:
    • Own the Legal requests queue day to day: log, categorize, and route each incoming request to the right owner
    • Act as air traffic control for the team, triaging requests by type and urgency and escalating time-sensitive items to the appropriate attorney
    • Track open requests through completion and send proactive status updates to requesters and Legal team members
    • Serve as a first point of contact for colleagues on how to engage Legal, pointing them to the right request type or resource
  • Contract Lifecycle Management (CLM):
    • Build and maintain workflows in our CLM for intake, routing, approvals, and signature
    • Administer the platform: manage users and permissions, templates, and metadata, and keep contract records accurate and complete
    • Troubleshoot user issues and help colleagues navigate the CLM
  • E-Signature:
    • Prepare and send e-signature envelopes in Docusign using approved templates and routing orders
    • Track documents pending signature, follow up with signatories, and resolve routing issues to keep execution on schedule
    • File fully executed documents in the Legal repository using established naming and filing conventions
  • E-Billing & Outside Counsel:
    • Coordinate e-billing routing: direct outside counsel invoices to the right reviewers and approvers and track them through approval
    • Follow up on overdue approvals and flag billing discrepancies or missing information to the Legal team and Finance
    • Maintain outside counsel and vendor records, including matter details and billing contacts
  • Corporate & Entity Management:
    • Maintain entity records, minute books, and officer and director lists
    • Track annual reports, franchise taxes, and registered agent renewals so nothing lapses
    • Help prepare board and stockholder consents and order good standing certificates as needed
  • Administrative Support:
    • Maintain the Legal team's document repository, trackers, and shared drives
    • Help prepare routine reports on request volume, turnaround times, and outside counsel invoices
    • Keep process documentation and request instructions current as workflows change
    • Support Legal team and cross-functional initiatives, as a key stakeholder or by managing timelines, action items, and follow-ups
    • Provide notary services for company documents as needed (if commissioned)

Minimum Requirements:

  • Bachelor's degree, or an equivalent combination of education and relevant experience
  • 1–4 years of experience in an administrative, coordinator, or legal support role
  • Highly organized, with strong attention to detail and reliable follow-through across many open items at once
  • Clear, professional written and verbal communication with colleagues at all levels
  • Comfortable learning new systems quickly, such as intake/ticketing tools, e-signature platforms, and Microsoft 365
  • Good judgment on when to escalate, and high discretion handling confidential and commercially sensitive information
  • Pick-up-the-broom mentality: no job is too big or too small

Preferred Requirements:

  • Active notary public commission, or willingness to obtain one
  • Experience CLM platform, Docusign, Onit Unity, or legal intake/ticketing tools
  • Corporate paralegal experience, or familiarity with entity management tools and state filings
  • Experience in a legal department, law firm, or aerospace/defense or government contracts environment
  • Experience at a high-growth or technology company
