We are seeking passionate and detail-oriented Medical Assistants - Medication Refill Specialist to join our team!
Position Summary
The Medical Assistant – Medication Refill Specialist is a centralized, non-clinic role responsible for managing medication refill requests in a timely, accurate, and compliant manner. This position supports providers by reviewing refill requests, gathering required clinical information, communicating with pharmacies and patients, and routing appropriate refill requests for provider approval. The role does not involve direct patient rooming or in-clinic duties.

Manage incoming medication refill requests from patients, pharmacies, and internal teams

Review refill requests for completeness, accuracy, and appropriateness based on established protocols and provider instructions

Obtain required information from patients, including medication details, pharmacy information, and clarification of refill needs

Communicate with pharmacies to verify prescriptions, refill status, insurance requirements, and resolve refill-related issues

Route refill requests to the appropriate provider for review and authorization, ensuring all required documentation is included

Process approved medication refills in the electronic health record (EHR) per organizational and regulatory guidelines

Identify refill requests that require provider evaluation, patient follow-up, or escalation to nursing or clinical leadership

Document all patient, pharmacy, and provider communications accurately and thoroughly in the EHR

Ensure compliance with organizational policies, state regulations, and scope-of-practice requirements related to medication management

Monitor refill turnaround times and prioritize urgent or time-sensitive requests

Collaborate with providers, nurses, and clinical leadership to improve refill workflows and patient experience

Maintain patient confidentiality and comply with HIPAA and privacy regulations at all times

Requirements
- High School Diploma or general education degree (GED) required
- Medical Assistant certificate in California
- BLS certification required
- Basic office equipment and computer skills
- A proven track record for working as a punctual, collaborative and flexible team player.
Preferred
- 1-year medical group experience preferred
- Additional clinical experience is a plus, such as EMT, CNA, or Phlebotomy certification.
- Ability to speak multiple languages.

Physical Demands: Mostly sedentary work duties require exerting up to thirty pounds of force occasionally and/or small amounts of force frequently. Sedentary work typically involves sitting most of the time but may involve walking or standing for brief periods.
This is a full-time role based in our family of Pomona Valley region clinics. Chaparral Medical Group clinics are in Chino, Claremont, Pomona, Rancho Cucamonga, San Bernardino and Upland. PLEASE NOTE: While you will be working at a CMG clinical site, your employer will be Akido Labs MSO which contracts with CMG to provide staff.

Salary range
$44,720 - $53,123 USD
