Chen Moore and Associates is hiring a Proposal Coordinator to work with our business development and marketing team. Candidates should be able to efficiently plan and organize workload, demonstrate success working with a team of professionals, a commitment to quality, good communication skills, and a positive work ethic, strong sense of urgency, project responsibility, initiative, work independently and as part of a team.
Responsibilities include:
- Coordinate local government and DOT (department of transportation, specifically FDOT) pursuits with internal and external pursuit team members.
- Work directly with technical staff to develop proposals, presentations, graphics, marketing material, web media, etc.
- Proofread and edit proposal text for proper grammar, spelling, readability, and compliance.
- Evaluate and assist in preparing content to make sure it satisfies RFP requirements and company brand standards.
- Write non-technical content and edit proposals for messaging, strategy, and persuasiveness.
- Work with graphic designers and/or assist in creating strategic, persuasive graphics.
- Facilitate internal QA/QC procedures for all marketing and proposal materials.
- Serve as the collection point for intelligence related to clients and competitors to support opportunities/pursuits.
- Create & maintain resumes, company information, project descriptions, and photography for proposals, SOQs, or other materials.
- Maintain marketing/communications databases and file folder structures.
- Conduct basic research on market trends, competitor materials, media contacts, etc.
- Basic graphic design tasks, such as diagrams, tables, charts, cover designs, layouts for proposals, presentations, marketing materials, reports, etc.
- Perform general marketing-related administrative duties as requested.
- Assist with public relations efforts with other marketing team members that may include planning/coordinating client events, including conferences.
- Assist with social media efforts and strategies with other marketing team members across various social media platforms maintaining a consistent and engaging user experience.
Minimum Requirements:
- Bachelor’s degree in business, marketing or a related field
- At least 5 years of experience as a marketing professional in the A/E/C industry
- Proficiency in Adobe Creative Suite and Microsoft Office, especially InDesign, Acrobat, MS Word, Excel, PowerPoint, Outlook, and SharePoint
- Ability to effectively set priorities while juggling multiple deadlines, maintaining composure under pressure.
- Experience facilitating and documenting discussions and leading proposal kick-off meetings and team reviews.
- Involvement with local marketing and or A/E/C organizations and willingness to attend events on behalf of the firm.
- Experience with Deltek Vision/Vantagepoint is preferred but not required.
- Create presentations with technical team members using the latest software for procurement efforts. Strong knowledge and experience with PowerPoint and Prezi are a plus.
- Excellent oral, communication, interpersonal, and time management skills, with ability to interact at the client and senior staff level.
- Demonstrates flexibility by adjusting readily to changing priorities in a fast-paced, deadline-driven environment.
- Demonstrates strong work ethic and quality in work.
