What You Will Do

We are looking for a proactive and detail-oriented Operations Associate to join our team.  In this role, you'll provide essential support across multiple operational functions, including office administration, meeting coordination, document management, and policy training. 

As a member of the operations team, which serves as the nucleus of our operations efforts, you will play a pivotal role in ensuring seamless collaboration and execution across all operational initiatives. The ideal candidate is a highly organized team player with strong analytical skills, impeccable time management, and the ability to prioritize and multitask effectively across operations and with our cross-functional partners. 

This Chompian must maintain a professional demeanor in all interactions, including with Senior Leadership team members who report to the President and COO, along with senior leaders in Operations ranging from Director, Sr. Director, VP, and SVP. This role will help support Operations, the largest function within Operations, currently at 50+ team members. This is a hybrid role, with three days onsite in our Chicago office. 

Responsibilities

  • Help onboard New Hires by making sure they have the operations Team Meetings on their calendar, Slack Channel groups, and train on T&E best practices
  • Oversee the management, organization, and upkeep of the Ops SharePoint Folder structure
  • Contract Administration- Organized repository for all contracts, amendments, supply agreements, and non-disclosure agreements (NDAs)
  • Support with planning operations events as needed (company off-sites, large meetings, co-man visits, quarterly business reviews)
  • Coordinate internal Outlook operations monthly team meetings, including scheduling, agenda preparation, PowerPoint shells, and follow-ups, and support key weekly operations meetings as needed
  • Operations Liaison for info-governance  
  • Make the connections between all functions of the operations organization ensuring smooth and efficient workflow
  • Create and manage travel arrangements on an as–needed basis for the Operations Leadership team members to include air, hotel, ground transportation, and any other travel-related needs. Troubleshoot and aid with travel changes and/or emergencies
  • Prepare and submit expense reimbursements for the operations senior leadership team ensuring all reimbursements are quickly processed and balanced on a weekly or monthly basis on an as needed basis
  • Support the operations team with budgeting tasks, including processing POs, tracking expenses, and monthly accruals
  • Oversee Travel and Entertainment (T&E) budgeting for Total Ops, ensuring accurate forecasting, allocation, and financial visibility across Budget cycles, LBE1, LBE2, and Month-End Close
  • Assist in preparing Key Performance Indicator (KPI) reports and contributing to the operations team presentations.
  • Provide administrative support to senior Operations leaders as required
  • Oversee Chicago office space, supplies, and equipment to ensure a productive work environment
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments  

Who You Are

  • Bachelor's degree preferred
  • 3+ years of experience in relevant field
  • This is a hybrid role with 3 days in the Chicago office and 2 days remote
  • CPG experience required
  • Proven experience as an executive assistant or other relevant administrative support experience required.
  • Proficiency in Microsoft Office suite
  • Tech savvy – technology interests you & you can troubleshoot common IT issues 
  • Familiarity with scheduling travel/meetings for multiple individuals required
  • Excellent written and verbal communication skills; must be comfortable working in a productive, fast-paced start-up environment as a hands-on team player who can also operate independently
  • Collaborative mindset with strength in effectively receiving and communicating feedback
  • Ability to work under pressure, balance multiple tasks, and proactively work through areas of responsibility as a steward of the brand and company

Reports to: Director, Commercialization

Location: Hybrid in our Chicago office

Type: Full-Time, exempt

Salary Range Opportunity:

  • The salary range for this role is $80,000 - $85,000 + 15% annual bonus

Compensation Philosophy & Total Comp:

  • Our salary ranges are based on verified market data and our philosophy of paying competitively for our size and industry
  • Individual pay rate decisions are based on several factors, including qualifications for the role, experience level, skillset, and balancing internal equity relative to peers at the company
  • In addition to base salary, full-time team members receive medical, dental, and vision insurance, 401K 6% match, and monthly reimbursements for wellness and home office.
