Inventory & Fulfillment Specialist

Our Inventory & Fulfillment Specialist works directly with our 3rd party warehouse, responsible for assembly operation while overseeing inventory accuracy across warehouse and production environments. This role oversees the execution of assembly schedules, coordinates materials and labor, and manages inventory reports to identify, investigate, and resolve discrepancies. The ideal candidate is detail-oriented, organized, and experienced in both assembly and inventory control, with a passion for improving processes and preventing errors. This position reports to the Director of Operations.

Key Responsibilities

Assembly Operations

  • Coordinate with assembly partner to confirm production schedules, confirm labor availability and secure overall resources for timely execution.
  • Coordinate with supply planning, warehouse, production and transportation teams to ensure materials are available for upcoming assembly runs.
  • Monitor and optimize workflows for efficiency, quality, and cost-effectiveness.
  • Maintain clear documentation of assembly BOMs (Bill of Materials), labor hours, and production outputs.

Inventory Management

  • Own day-to-day inventory tracking and reconciliation processes across internal and third-party warehouses.
  • Generate and analyze daily, weekly, and monthly inventory reports to ensure accuracy across systems (e.g., ERP, WMS).
  • Lead root cause analysis of inventory discrepancies; implement corrective actions and process improvements to prevent recurrence.
  • Support periodic cycle counts and physical inventory audits, including planning, execution, and variance reporting. Participate and schedule year end audit and reconciliation.
  • Execute daily/monthly inventory reconciliation in alignment with Accounting and Finance.
  • Collaborate with cross-functional teams to ensure inventory adjustments are properly recorded and communicated.

Process Improvement & Reporting

  • Partner with supply chain, warehouse, and finance teams to ensure consistent inventory accuracy and alignment across platforms.
  • Identify opportunities to improve material flow, assembly preparation, and inventory accuracy through system or process changes.
  • Establish KPIs for assembly and inventory performance and provide regular reporting to leadership.

Qualifications & Skills

  • 3+ years of experience in inventory management, assembly, or warehouse operations, preferably in a manufacturing or consumer goods environment.
  • Strong working knowledge of inventory systems, ERP platforms (e.g., NetSuite), and Excel/Google Sheets.
  • Excellent problem-solving skills with a proactive, hands-on approach to root cause analysis.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and cross-functional collaboration skills.

Salary: $70,000-80,000 annually
