Manager, Operations & Executive Support

We’re looking for a mission-driven, detail-oriented, systems thinker to join our team as Operations and Executive Support Manager to help us scale and support core operational systems on a growing team. The Operations and Executive Support Manager will report to the COO, and will also provide support for senior executives including the Executive Director and program leadership.
Success in this position requires strong attention to detail, strong verbal and written communication abilities, strong time management, excellent technology skills, and a startup mindset focused on problem-solving, systems-thinking and continuous improvement. Responsibilities
(50%) Drive & Implement Operational Excellence
- Coordinate with external operations vendors and internal staff to provide best-in-class organizational operations that streamline workflows and unlock impact
- Training and Compliance
- Lead organization-wide staff training and understanding about the importance and mechanics of organizational systems and compliance requirements
- Manage training schedule and system check-ins to ensure compliance with internal staff policies, protocols, reporting requirements, and systems through robust tracking and individual follow up.
- Support the onboarding process for new staff to ensure seamless uptake of all organizational and program systems
- Accounting and Documentation
- Maintain robust protocols and implementation for operational recordkeeping, including financial, personnel/HR, contractual, programmatic, and other records
- Oversee robust accounting protocols & ensure proper controls
- Review reimbursements & ensure appropriate classification of expenses
- Create and deliver monthly reports to COO to demonstrate status across all core operational areas
(25%) Provide administrative support to programmatic teams
- Provide administrative support to programmatic teams, specifically the Policy Team and State Leads
- Support timely completion of all weekly and monthly program reporting requirements
- Manage program budgeting process. Work with Program Directors to set, track, and communicate program budgets, and incorporate budgets in financial planning
- Troubleshoot operational questions with program staff and leadership as needed
(25%) Support the Executive Team & Staff Events
- Provide administrative support to the Executive Director, including calendar management, inbox management, and travel logistics
- Coordinate travel, lodging, and venues for staff retreats and team events
- Plan internal staff events and initiatives that foster recognition and support a rewarding team culture
Required Core Skills
- Strategic Systems Thinking and Risk Evaluation: Ability to synthesize information, question existing processes, and continuously improve systems in a way that appropriately considers risk and compliance.
- Operational Excellence: Skilled at turning complex projects into clear, repeatable workflows that achieve results. Thinks in terms of scalable processes and systems that will be simple to teach and maintain.
- Detail-Orientation and Follow Through: Has the highest standard for accuracy and precision. Brings tasks to full completion; maintains systems over time.
- Compelling Communication: Communicates the importance of administrative and compliance work in a way that motivates and inspires. Fosters a culture of accountability, consistency, and care in operations and compliance.
- Comfortable with technology and spreadsheets: Able to learn new technological systems and work fluently in numerical systems like Excel.
Required Experience
5+ years professional experience, including at least one of the following realms:
- Administrative, operational, or management role in a multi-entity or political organization
- Political campaign operations, compliance, or leadership role
- Legislative Aid, Chief of Staff, or other leadership role with an elected official
- Accounting, auditing, or financial recordkeeping
Location: Remote in the U.S. This role will require some travel to San Francisco, Chicago, and other U.S. locations.
Compensation
- Salary: $70,000-90,000 or commensurate with experience.
- Medical, dental and vision insurance; premiums fully covered.
