About The Position
Clinical Architecture is seeking a self-motivated, energetic, positive, and organized Team Services Coordinator to join our team in the Indianapolis, IN area. The Team Services Coordinator will assist our Administrative and Team Services Manager with corporate event planning and office duties. This role demands a professional who will excel in event planning, facilitate office responsibilities and procedures, contribute to a fun and supportive work environment through efficient, cost-effective, and memorable gatherings.
Responsibilities
- Manage all aspects of event planning alongside the Administrative and Team Services Manager, including the event logistics, contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Research vendors and propose selections based on creativity, quality, and budget.
- Oversee events from preparation to breakdown, ensuring adherence to planned format, compliance with regulations, vendor cooperation, issue resolution, and overall satisfaction of participants and sponsors.
- Prep and stock office cafés, conference rooms, training center, and social hubs for meetings and training; with daily check-ins to make sure rooms are clean and orderly.
- Support Administrative and Team Services Manager with duties as assigned.
This role is required to be on site at our Carmel, IN Headquarters. Clinical Architecture offers ample flexibility to accommodate a healthy work-life balance.

Qualifications
- Experience in Office Administration, Event Planning, People Operations, and/or Marketing.
- Minimum 1 year experience planning facilitated team activities, gatherings, and events.
- Ability to lift, carry, push, and pull up to 25 pounds is required.
- Strong written and verbal communication skills.
- Ability to remain calm under pressure and maintain a customer-service mindset.
- Spirited individual who is energetic, joyful, and confident.
- Strong organizational and time management skills, with the ability to adhere to deadlines, multi-task, and be able to prioritize.
