Project Coordinator
Clinical Architecture is seeking a detail-oriented and organized Project Coordinator in the Indianapolis, IN area. The Project Coordinator will support our software development and cross-functional teams. This role will assist in planning, coordinating, and tracking projects, helping ensure tasks stay on schedule and communication remains clear across departments. This is a great opportunity for someone who is organized, proactive, and eager to grow in project management. As an integral member of our software development projects, this role will support the organization in delivering consistent high-quality products within schedule.
This role is based on-site at our Carmel, IN Headquarters, five days a week. While we are an in-office organization, we do our best to offer flexibility when needed, ensuring both work-life balance and uninterrupted business operations.

Responsibilities
- Assist in planning and tracking software development projects across multiple departments.
- Coordinate cross-functional meetings, document key decisions and action items, and ensure timely follow-ups.
- Monitor and maintain project plans, schedules, team capacity, and estimates to support delivery goals.
- Assist with Agile activities such as sprint planning, daily stand-ups, and retrospectives.
- Partner with Product Management, Engineering, QA, and Operations to align resources and priorities.
- Help identify and track project risks or issues and communicate them to the appropriate team members.
- Deliver regular project updates through status reports, dashboards, and stakeholder communications.
- Maintain clear, organized documentation of project artifacts, timelines, and workflows.
- Communicate effectively across teams, demonstrating strong verbal, written, and interpersonal skills.
- Adapt quickly to changing priorities, managing multiple tasks with strong time management and organizational skills.
- Self-motivated and committed to continuous learning and professional growth.
Qualifications and Experience
- High school diploma or GED required.
- 1–3 years of experience in a project coordination, project assistant, or similar support role.
- Familiarity with software development or IT projects.
- Experience in healthcare and/or familiarity with healthcare terminology is a plus.
- Experience supporting Agile or hybrid teams is a plus.
- Basic understanding of project management principles and tools (e.g., Jira, Trello, MS Project, or similar).
- Project Management Professional (PMP) certification is not required for this position but is encouraged as part of career development.
