About the Job:

The HR/Operations Admin will play a key role in supporting the efficient functioning of the HR department by managing administrative tasks and assisting in the recruitment, onboarding, and employee management processes. This role requires a high level of professionalism, responsiveness, confidentiality and a proactive approach to problem-solving. The ideal candidate will be tech-savvy, responsive, and committed to providing excellent service to employees and management.

We work as a team and assist other groups with projects as and when needed. This requires the candidate to be flexible and able to jump in as needed, primarily in HR, but also in finance, sales operations or marketing.

Responsibilities:

  • Maintain, update, and organize employee records in the HRIS system, ensuring accuracy, confidentiality, and compliance with legal requirements
  • Process new hires, terminations, and employee status changes (e.g., promotions, transfers)
  • Assist with the recruitment process by posting job openings, coordinating interviews, and supporting background checks
  • Facilitate onboarding activities for new employees, including documentation, orientation, and initial training
  • Assist with offboarding processes, including exit interviews, final paperwork, and the collection of company property
  • Prepare and generate reports as may be required for management, payroll, and compliance
  • Assist with the preparation of documentation for audits or other regulatory requirements
  • Assist with employee engagement programs and wellness initiatives
  • Assist with data entry, reporting, and employee record maintenance (using HRIS, ATS, ADP, Nexonia and SFDC)
  • Provide general administrative support, including organizing meetings, managing calendars, and preparing materials
  • Assist with special projects as needed

Requirements:

  • Ability to work independently and as a team to carry out assignments to completion within parameters of instructions given
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • An energetic and creative professional with high ethical standards
  • Comfortable using a variety of tools and platforms
  • Strong working knowledge of Google Docs, Sheets, Slides, and Drive for document creation and collaboration
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook for document management, data analysis, and communication
  • Meticulous in managing records and documentation, ensuring accuracy and compliance.
  • Strong verbal and written skills
  • Strong organizational, problem-solving, and multitasking abilities
  • BA degree, preferably in Human Resources, Business Administration
  • At least 1-2 years of experience in HR or executive administrative support

Preferred Skills:

  • Expense Management Software: Experience with tools like Nexonia for expense management and reporting
  • Applicant Tracking Systems: Knowledge of ATS platforms such as Greenhouse for managing recruitment and candidates
  • HRIS and Payroll Systems: Experience with HRIS and payroll systems like ADP for handling payroll, benefits, and employee data
  • Sales Operations Experience: Experience using SFDC, particularly processing booking orders, is a major plus!
