People Ops Coordinator Job Description
Our People Operations team is crucial in ensuring our employees have a positive experience from the moment they join us and throughout their journey. We’re seeking an enthusiastic entry-level People Operations Coordinator with 1 year or less experience to join our team.
The People Operations Coordinator is key throughout the employee lifecycle by providing critical administrative support and collaborative problem-solving. This position serves employees and Leaders across the organization in People Operations processes and services.
Day-to-day activities may include processing highly confidential candidate and employee information within our HRIS, executing and optimizing onboarding and offboarding activities, investigating and responding to general employee and manager inquiries, and maintaining various independent task lists and databases. The ideal candidate is passionate about building a career in People Operations/Human Resources, thrives in a fast-paced environment, and approaches tasks with a can-do attitude and an insights/solutions-orientated approach.
This position reports directly to the Chief People Officer.
What will I be doing? 🤔
Support various HR processes, including onboarding, employee culture and engagement, workplace support, offboarding, and employee lifecycle changes.
Onboarding:
- Lead the handoff between Recruiting and People, including work permit and document processing.
- Help to set up the onboarding plan for the new joiners
- Host our monthly onboarding classes while setting up new hires for success at lightning speed for successful onboarding, which includes preparing welcome materials and coordinating orientation sessions.
- Process new hire documentation and maintain accurate records in the HR system.
- Ad hoc duties as required.
HR Administration:
- Maintain and update employee records and HR databases.
- Overseeing and issuing employment contracts, amendment letters, ad hoc salary and bonus letters.
- Responsible for responding to general HR inquiries via Jira, Slack, and email.
- Uploading and editing the Confluence page when necessary, with HR updates.
- Processing benefits every month.
- Ensure HR Tickets are responded to within SLA timescales and to a high standard.
- Support in optimizing new processes and tools to provide a great employee experience.
- Maintain our employee handbook to ensure compliance and to keep it up to date with our latest policies.
- Support to ensure the accuracy of employee data throughout multiple interfaces.
- Help manage various touch points throughout the employee life-cycle, such as onboarding sessions.
- Assist with benefits administration and respond to employee inquiries.
- Ad hoc duties as required
Employee Engagement, Culture, Workplace Support:
- Support the planning and execution of employee engagement initiatives and events.
- Collaborate with the team on engagement activities and assist with organizing events (i.e., company challenges, wellness challenges, global volunteering days, meet-ups, etc.)
- Help manage internal communications related to HR programs and policies.
- POC for the People Team’s inbound and outbound mail, shipping, phone calls
- Manage relationships and contracts with HR vendors and service providers
- Ad hoc duties as required.
What do we need from you? 😎
- You are located in Eastern Time Zone or Central Time Zone
- 0-1 year of professional experience, including internships or relevant coursework in Human Resources, Business Administration, or a related field.
- Excellent verbal and written communication skills and attention to detail
- Ability to multitask and adapt in a fast-paced environment.
- A proactive attitude and willingness to learn and take on new challenges.
Bonus If You Have
- Bachelor's degree in Business, HR, Technology, or equivalent relevant work experience
- Experience with a global organization
- Experience working at software companies and supporting software employees
- HRIS-related experience with HiBob and Paylocity.
- ATS-related experience with Greenhouse

Pay Range Disclosure
Cobalt is committed to fair and equitable compensation practices. The salary range for this role is ($50,000 - $60,000) per year + equity + benefits. A candidate’s salary is determined by various factors including, but not limited to, relevant work experience, skills, and certifications. The salary range may differ in other states and be impacted by proximity to major metropolitan cities.
