Reporting to: Senior HR Business Partner, Claude Corps
Compensation:
$65,000 to $85,000

About Claude Corps

Claude Corps is a fellowship that places early-career talent in nonprofits, government agencies, and public-interest organizations to build AI solutions those organizations can continue using after the fellowship ends. It is a partnership between Anthropic, CodePath, and Social Finance. Fellows are full-time employees for a one-year term.

Cohorts now run in the hundreds, and new fellows onboard while earlier cohorts are still placed. We need a coordinator who can run the day-to-day onboarding work at that scale, in partnership with the Senior HR Business Partner, and make sure every step is organized, accurate, and completed on time.

About the Role

You run the day-to-day onboarding work for Claude Corps fellows, from signed offer through completion of required employment steps. You send instructions, track progress, maintain employee records, and coordinate payroll and benefits setup.

The Senior HR Business Partner owns the overall onboarding process and handles sensitive questions and exceptions. You complete the work, keep fellows informed, and flag issues early.

You work closely with recruiting, the Claude Corps program team, Finance, and our HR service providers. Between onboarding waves, you help maintain records, coordinate offboarding, and improve processes so the team is ready for the next cohort.

What You’ll Do

Coordinate fellow onboarding

  • Manage onboarding for each cohort, including offer tracking, background checks, I-9 verification, employee information collection, HRIS setup in CoAdvantage, and benefits enrollment
  • Track required employment steps and deadlines, ensuring fellows are ready to start on time and records are complete and accurate
  • Maintain a centralized onboarding tracker, proactively identifying outstanding items, potential delays, and issues requiring escalation
  • Coordinate with Finance on onboarding clearances and flag sensitive or compliance-related concerns to the Senior HR Business Partner

Be the primary point of contact for fellows

  • Serve as the primary point of contact for onboarding questions, providing timely, clear, and supportive communication
  • Send onboarding instructions, reminders, and updates so fellows understand what to expect and what actions they need to take
  • Resolve routine questions and coordinate with the appropriate HR partners on benefits, system issues, or policy-related matters
  • Manage the HR inbox with care, discretion, and consistent follow-through

Maintain systems and improve processes

  • Keep employee records, onboarding trackers, process documentation, the Notion hub, and relevant Fellow Handbook resources accurate and up to date
  • Support offboarding and ongoing employee record maintenance between onboarding cohorts
  • Create clear, repeatable workflows that support larger cohorts and allow additional team members to step in when needed
  • Use AI and automation to reduce repetitive work, improve efficiency, and maintain accuracy as the program grows

Requirements

  • Experience coordinating high-volume onboarding, people operations, or HR processes with time-sensitive requirements
  • Familiarity with HRIS or PEO systems and the ability to learn new tools quickly
  • Strong organizational skills and attention to detail, with experience maintaining accurate records, trackers, and deadlines
  • Clear, warm communication skills and a commitment to creating a positive employee experience
  • Sound judgment when handling confidential information, resolving questions, and escalating sensitive matters
  • Experience using AI or automation tools to improve workflows and reduce manual work
  • A proactive, service-oriented approach and the ability to manage competing priorities in a fast-paced environment

Key Success Metrics

  • Onboarding Readiness: Fellows complete required employment steps accurately and on time, with payroll and benefits information ready for their start dates
  • Fellow Experience: Fellows receive clear instructions, timely updates, and responsive support throughout onboarding
  • Operational Accuracy: Employee records and onboarding trackers remain current, with potential issues identified and communicated early
  • Efficiency and Collaboration: Teams receive timely information, and onboarding processes become more consistent and efficient as cohorts grow
