The Operations Support Specialist plays a vital role within our property management team at Avanath, facilitating operational efficiencies and enhancing communication among residents, property management, and regional leadership. This position focuses on monitoring various communication platforms, assisting in resolving customer concerns, finalizing the approval and cataloging of company contracts, and completing essential administrative tasks, including travel requests, reporting, and property listings. The ideal candidate will demonstrate strong organizational skills, exceptional communication abilities, and a commitment to customer service.

Qualifications

  • High School Diploma required; higher education preferred.
  • Previous experience in a support role, ideally in property management or customer
    service.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Capacity to work independently and collaboratively, demonstrating initiative and a
    proactive attitude.

 

Key Accountabilities

  • Travel Coordination and Expense Reports:
    • Assist the Director, Operations Support, Regional Managers and Vice Presidents with travel arrangements, ensuring compliance with company travel policies.
    • Organize itineraries and logistics for business trips, including transportation and accommodation.
    • Complete expense reports for the Director, Operations Support, Regional Manager and Vice President according to Avanath's reimbursement policy as requested (as needed).
  • Listing Management and Property Advertising:
    • Collaborate with the Vice President of Marketing to ensure the accuracy of property listings across various websites and advertising platforms.
    • Monitor property advertisements for effectiveness and suggest enhancements as needed. 
  • Administrative Support:
    • Provide general administrative support to the Director, Operations Support, Regional Managers and Vice Presidents, including document preparation, scheduling, and report generation.
      o Help track and manage operational metrics and performance indicators relevant to the role.
  • Adherence to Property Management Rules, Regulations and Guidelines:
    • Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act and all other laws pertaining to the apartment industry.

Physical Demands & Working Conditions

  • The incumbent in this is classified as essential staff and is expected to report to work and adhere to all safety and business protocols. 
  • The position is based out of Irvine, California.
  • Frequent sitting and walking
  • Occasional travel to other business offices and events via airline, trains, and automobiles.
  • Repetitive use of computer, keyboard, mouse, and phone
  • Reading, comprehending, writing, performing calculations, communicating verbally. 
  • Occasional overtime and flexibility in working hours may be required to meet the demands of property management operations.
  • Regular office hours will be maintained, but responsiveness to tenant inquiries may extend beyond typical business hours.
