About the Job

We are seeking a Office & Admin Executive to join our team, helping to ensure the smooth operation of the office and supporting administrative functions. This role involves managing office resources, coordinating with various departments, and ensuring a productive and efficient work environment.

The Office & Admin Executive will be responsible for:

  • Oversee day-to-day office activities; act as the main point of contact in the reception area to receive guests, and keep management informed regularly of office-related updates.
  • Provide direct administrative support and coordinate logistics support as needed, including reserving meeting rooms, parking lots, and event spaces.
  • Manage office supplies inventory, order new supplies as needed, and ensure all office equipment is maintained.
  • Coordinate maintenance of office areas, including common areas, meeting rooms, and pantry.
  • Manage office spaces, including coordinating moves, additions, and changes to workstations. Provide assistance, resources, and solutions as required.
  • Provide direct administrative support as needed, including reserving meeting rooms, parking lots, and event spaces.
  • Liaise with vendors, service providers, landlords and building management to ensure office needs are met.
  • Create and maintain both physical and electronic filing systems.
  • Manage administrative expenses, create liquidation summaries, process payment requests from Finance, and ensure vendors' payment terms are met.
  • Ensure that office requirements, such as business permits, fire safety certificates and others are complied with.

In this role, we are looking for someone with:

  • Bachelor’s degree or equivalent
  • 5 to 8 years of office and admin management experience is preferred
  • First aider or Safety Officer II is an advantage
  • Advanced computer skills and experience with online platforms
  • Previous Facilities / Workplace Management experience
  • Professional and welcoming demeanor for reception duties.
  • Decisive and addresses issues/queries quickly and accurately that stakeholders value
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Negotiation and relationship management skills for effective vendor management.
  • Ability to maintain confidentiality of company information

Who may have access to personal data?

Your information will be shared internally within the Group for the purposes of the recruitment exercise. This includes with members of the HR and recruitment team, interviewers involved in the recruitment process, managers in the business area with a vacancy, internal and external auditors and IT staff if access to the data is necessary for the performance of their roles.

Your personal data will be shared with Greenhouse Software, Inc., a cloud services provider located in the United States of America and engaged by MoneyHero Group to help manage its recruitment and hiring process on MoneyHero Group’s behalf.

MoneyHero Group may share your personal data with third parties in order to, obtain pre-employment references from other employers, obtain employment background checks from third party providers and to obtain necessary criminal record checks.

How long do we hold your personal data?

Your personal data will be retained by the Group for so long as the Group determines it is reasonably necessary to evaluate your application for employment. If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment in accordance with the contract of employment and our internal privacy policy.

What if you do not supply your personal data?

You are under no statutory or contractual obligation to provide data to the us during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
