Position Overview:
The Billing and Collection Admin plays a crucial role in maintaining the integrity of our billing systems and ensuring timely and accurate payment processing. This position involves close collaboration with the sales and finance teams to address payment-related inquiries, update payment records, and manage communications with customers. The ideal candidate will have strong organizational skills, attention to detail, and a customer-oriented approach to handling inquiries.
Key Responsibilities:
Billing System Management:
- Accurately update billing systems with payment acknowledgements for each installment.
- Ensure all payment records are up-to-date and reflect the correct payment statuses.
Sales Team Support:
- Respond promptly and professionally to inquiries from the sales team regarding billing and payment-related matters.
- Provide accurate and timely information to assist the sales team in resolving payment issues.
Payment-Related Communication:
- Manage and respond to payment-related emails from clients, ensuring queries are handled efficiently and courteously.
- Coordinate with the finance team to resolve any discrepancies or issues related to client payments.
Record Keeping & Reporting:
- Maintain accurate records of all billing and payment transactions.
- Generate regular reports on payment statuses and outstanding balances for internal review.
Qualifications:
- High school diploma or equivalent; additional qualifications in finance, accounting, or related fields are a plus.
- Previous experience in billing, collections, or a similar administrative role.
- Strong attention to detail and organizational skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite, particularly Excel, and familiarity with billing software.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
