About the Job
The Rebate and Trade Coordinator is responsible for reconciling customer/vendor rebate programs and trade promotions within the AR/AP department. This role ensures accurate data, timely collection of rebate receivables, and compliance with customer and vendor agreements. The ideal candidate possesses strong administrative skills, attention to detail, and the ability to work cross-functionally with sales, operations, and finance teams.
What You Will Do
- Track and maintain rebate and trade promotion agreements with wholesale customers and retail vendors.
- Review and validate sales data to ensure eligibility for rebate claims.
- Coordinate with Sales to clarify terms and thresholds.
- Upload credit documentation for internal approval based on established protocols
- Send approved credit memos to customers in a timely and professional manner
- Prepare and document monthly rebate amounts based on sales volume, contract terms, and historicals.
- Maintain organized records of all credit activity, including approvals, applications, and customer and vendor correspondence
- Support month-end close with rebate-related documentation.
- Monitor open rebate balances and follow up with customers to ensure timely payment.
- Prepare supporting documentation for rebate claims and submit to customers for reimbursement.
- Reconcile customer accounts for accuracy.
- Investigate and resolve discrepancies between internal records and customer payments.
- Generate monthly and quarterly rebate summaries for internal stakeholders.
- Maintain audit-ready documentation for all rebate transactions.
- Ensure rebate accounting practices comply with internal policies.
- Assist with internal and external audit requests related to rebate program or customer/vendor accounts
- Assist with additional AR-related tasks as needed
What We Are Looking For

- Must be 21+ years of age
Qualifications:
- Minimum of 1 years of experience in an administrative or operations support role.
- Strong understanding of rebates for both customers and vendors
- Experience with Excel (pivot tables, lookups, etc.);
- Excellent organizational, and communication skills.
- Ability to work independently and manage multiple priorities in a deadline-driven environment.
Preferred Qualifications:
- Background in Accounting, Finance, or related field.
- Experience in industries with high trade spend or rebate volume (e.g., CPG, wholesale, retail, cannabis).
Compensation
The starting hourly pay rate for this position in the selected city is: $20-$25. Exact compensation may vary based on skills, experience, and location.

- Requires normal, corrective vision range, the ability to see color and the ability to distinguish letters, numbers and symbols.
- Requires normal hearing range.
- Workplace is an office setting.
