Executive Assistant
Department: National Accounts
Job Summary: Assists a Property & Casualty (P&C) Partner and the P&C team with administrative tasks.
Principal Responsibilities:
- Provide daily administrative support to the Partner, including managing their calendar and scheduling meetings.
- Translate and organize handwritten notes into an electronic filing system.
- Perform copying, scanning, and digitizing of documents to ensure accurate and organized record-keeping.
- Handle confidential materials with discretion and maintain efficient electronic and physical filing systems.
- Organize, compile, and update company documents and files in accordance with company standards.
- Maintain client files to meet company standards.
- Provide phone, mail, and other administrative support for the Account Executive (AE) team.
- Set up carrier/client meetings and manage team calendars.
- Process policies, maintain policy logs, and complete policy checklists as directed.
- Process Auto ID cards and certificates of insurance per contract and/or additional insured requirements.
- Complete Acord applications and other required forms.
- Maintain the electronic filing system and manage mail within the Document Management System (WorkSmart).
- Handle client requests efficiently and accurately, including processing certificates of insurance, auto ID cards, and answering inquiries.
- Manage office supplies, including ordering, inventory, and distribution.
- Coordinate with vendors for office equipment services, document storage (e.g., IronMountain), and other external services.
- Act as the main point of contact for landlord communications and facility-related issues.
- Assist with event planning, including logistics, vendor coordination, and catering arrangements for office events.
- Prepare proposal documents and manage proposal uploads on Surface Pros.
- Handle and manage general client requests (e.g., property, vehicle, location updates), including documenting schedule changes internally, notifying the insurance carrier, and confirming updates with clients.
- Follow up on endorsements and other requests with carrier underwriters, as directed.
Other Responsibilities:
- Perform copying, scanning, and digitizing of documents to ensure accurate and organized record-keeping.
- Handle confidential materials with discretion and maintain both electronic and physical filing systems efficiently.
- Set up carrier/client meetings and manage team calendars.
- Handle invoicing and billing tasks, as directed.
- Adhere to Conner Strong & Buckelew policies, procedures, and guidelines.
- Complete additional tasks and projects as assigned.
Requirements
- 5 years’ Executive Assistant experience desired
- Ability to work in the New York, NY office 5 days/week during training period
- Bachelor of Science, Bachelor of Arts or Bachelor of Business Administration
- Ability to maintain confidentiality and work with highly confidential emails and other material
- Organized with acute attention to detail
- Ability to anticipate next steps on projects
- Excellent interpersonal and communication skills
- Advanced computer/technical skills required including Microsoft Office Suite
- Application of sound judgment in making independent decisions
- Demonstrated ability to control and handle sensitive business situations with discretion
- Consistent professional image that conveys poise and tact in every situation
- Authorized to work in the United States on a full-time basis without Company sponsorship

Salary for this position ranges from $31.60/hr. - $38.31/hr. The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis.
Qualifying positions will also be eligible for comprehensive benefits, such as participation in family medical and dental insurance programs, 401K plan, and PTO.
