Job Summary 

Professional customer service support to include Receptionist, WorkSmart Scanning Unit and Mail Operation for Corporate Services located at Corporate Headquarters in Camden, New Jersey. Organized individual with ability to multitask and work in a fast-paced environment.  Assist in clerical and other corporate services duties as needed that support the company’s infrastructure. 

Principal Responsibilities

 Mail Operations

  • Logging and delivering of packages as they are delivered (could lift 10-30 lbs.). Preparing outgoing FedEx packages to satellite offices; ex. interoffice mail and corresponds.
  • Sort, date stamp and process all incoming post office and internal mail to all CSB floors
  • Complete daily scheduled mail runs to all CSB floors.
  • Keep inventory of the mail postage supplies and FedEx supplies.
  • Add funds to postage machine

Administrative Support Services

  • Pull and deliver supplies and stationery per employee requests.
  • Complete a paper inventory and deliver to production/copy rooms daily.
  • Inventory production/copy rooms for neatness, supplies, & stationery items to restock on all floors.
  • Order and maintain office supplies.
  • Maintain inventory of presentation tab for proposal binding books in production rooms on all floors.
  • Assist with ordering of business cards and organizing the proof book with a sample of each incoming order.
  • Assist Corporate Catering with meeting setup & cleanup as needed.
  • Assist various departments as needed with special projects such as binding books, stuffing envelopes & mailing projects.
  • Contact with satellite offices, confirming brochures, stationery, and materials are up to date and in compliance.
  • Assist with answering Corporate Services phone extension.
  • Assist & back-up Team members when out of the office.

Receptionist

  • Be a backup to receptionist, ability to answer multi-line switchboard phone system and greet guest and direct them in a courteous manner.
  • If or when needed cover receptionist/department break and lunch along with scheduled time off and sick days. Flexibility with working hours between 7:30 AM and 5:30PM; ex. 7:30 – 4:00 or 9:00 – 5:30.

WorkSmart Scanning Unit

  • Work directly with the WorkSmart Scanning Unit, able to identify incoming mail by line of business. Date stamping, sorting, scanning, routing, and filing all scanned documents based on department.
  • Communicating with each department as needed to identify any questionable pieces of mail.
  • Maintain original documents in organized manner in the event an original document will need to be retrieved prior to destruction.

Requirements

  • Professional and courteous demeanor
  • Previous receptionist experience
  • Excellent customer service, interpersonal, organizational, verbal and written communication skills
  • Proficient in Word, Excel, and Outlook
  • Ability to work well independently as well as in a group setting
  • Flexibility with working hours between 7:30 AM and 5:30PM; ex. 7:30 – 4:00 or 9:00 – 5:30.
  • Authorized to work in the United States on a full-time basis without Company sponsorship

Hourly pay for this position ranges from $25.00 - $28.00. The  pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis.  

Qualifying positions will also be eligible for comprehensive benefits, such as participation in family medical and dental insurance programs, 401K plan, and PTO.
