The Opportunity 

The Clinic Operations Coordinator, Urgent Care provides essential operational, administrative, and coordination support to ensure clinics across a designated region run efficiently. This role works closely with the VP of Operations, District Director of Operations, Practice Managers, clinical teams to support scheduling, supply management, reporting, and administrative workflows. 

Your Impact

District Operations Support 

  • Support operational excellence across all clinics within an assigned district. 
  • Partner with Practice Managers and District Operators to identify and address operational challenges, performance gaps, and opportunities for improvement. 
  • Support the implementation and follow-through of district initiatives, process improvements, and strategic priorities. 
  • Monitor operational performance indicators and support action planning to improve results. 
  • Promote consistency in processes, communication, and execution across district locations. 

Leadership Coverage & Clinic Stabilization 

  • Provide operational and leadership support during Practice Manager vacancies, leaves, and transition periods to maintain clinic continuity. 
  • Partner with District Operators and Practice Managers on clinic leadership responsibilities and district initiatives. 
  • Participate in district projects and operational initiatives. 
  • Develop proficiency in staffing, patient experience, compliance, financial, and operational management practices. 

Compliance, Quality, & Readiness 

  • Support regulatory, accreditation, and company compliance requirements across the district. 
  • Assist clinics in maintaining readiness for inspections, audits, and regulatory reviews. 
  • Monitor compliance-related activities and support corrective action plans when needed. 
  • Promote adherence to operational, clinical, and safety standards. 

Onboarding, Training, & Development 

  • Support onboarding of new Practice Managers and clinic team members. 
  • Assist with leadership development initiatives and operational training programs. 
  • Share best practices and promote consistency in operational execution across locations. 
  • Reinforce company culture, leadership expectations, and operational standards. 

Staffing & Workforce Support 

  • Support district staffing initiatives and workforce planning efforts. 
  • Assist with onboarding coordination, workforce transitions, and staffing-related projects. 
  • Partner with Practice Managers to identify and address staffing challenges impacting clinic performance. 

Patient Experience 

  • Support district efforts to deliver a consistent, high-quality patient experience. 
  • Assist with patient experience follow-up, service recovery, and process improvement initiatives as needed. 
  • Promote a culture of service excellence and accountability throughout the district. 

Who You Are 

  • Experience: Minimum of 3 years of experience in healthcare, urgent care, physician practice, or multi-site healthcare operations.
  • Highly organized and detail oriented: Manages multiple priorities, schedules, and administrative tasks with accuracy while keeping clinic operations running smoothly. 
  • Proactive and solutions oriented: Anticipates needs, identifies operational gaps, and takes initiative to address issues before they impact the team or patient experience. 
  • Administrative and systems savvy: Comfortable working with schedules, calendars, and administrative systems while maintaining a high level of accuracy and organization. 
  • Strong communicator and collaborator: Works effectively with clinical teams, leadership, vendors, and candidates to coordinate schedules, logistics, and operational updates. 
  • Professional and trustworthy: Handles sensitive employee and operational information with discretion and maintains a high level of reliability and accountability. 
  • Team oriented and supportive: Willingly steps in to assist clinic leadership and team members to ensure daily operations run efficiently. 
  • Technologically adaptable: Learns and utilizes scheduling, HR, and communication platforms such as Microsoft Teams and other administrative tools. 
  • Flexible and calm under pressure: Maintains organization and focus in a fast-paced environment where priorities may shift throughout the day. 
  • Service oriented: Approaches interactions with a helpful, positive attitude that supports both team members and patients. 

Bonus Qualifications 

  • Degree in degree in health management, health administration, nursing, business administration, or related field.
  • Experience with When to Work, Clockwise, ADP, and Envi.
