About the role
We are seeking a detail-oriented and experienced Accounts Payable Analyst to join our fast-growing company in a remote position. As an Accounts Payable Analyst, you will play a vital role in managing the payment process for vendor invoices, ensuring accurate and timely processing. You will be responsible for verifying invoice accuracy, matching invoices with approved budgets and POs, reconciling vendor statements, resolving payment discrepancies, and maintaining strong relationships with vendors.
Responsibilities
Invoice Management and Payment Processing:
- Receive and review vendor invoices for accuracy, completeness, and compliance with company policies.
- Match invoices with approved budgets, purchase orders, and receiving documentation.
- Ensure proper coding and documentation of expenses.
- Maintain accurate records of payments made and update vendor accounts accordingly.
Vendor Reconciliation and Relationship Management:
- Reconcile vendor statements with accounts payable records to ensure accuracy and resolve any discrepancies.
- Communicate and collaborate with vendors to address payment inquiries and resolve payment-related issues promptly.
- Establish and maintain strong relationships with vendors to facilitate efficient payment processing and vendor management.
Expense Policy Compliance:
- Review employee expense reports, verifying expenses against policy guidelines and budget allocations.
- Communicate and enforce expense policies, providing guidance and support to employees as needed.
- Collaborate with the Finance team to ensure accurate and timely reimbursement of employee expenses.
Reporting and Communication:
- Prepare and distribute weekly summaries of accounts payable status to C-level executives, highlighting key metrics and issues.
- Generate reports on accounts payable activities, including outstanding invoices, payment schedules, and vendor performance.
- Communicate effectively with internal stakeholders and cross-functional teams to address inquiries, provide updates, and facilitate process improvements.
Vendor Onboarding:
- Assist in the vendor onboarding process.
Qualifications
- Bachelor's degree in business administration, accounting, finance, or a related field is preferred.
- Proven experience as an Accounts Payable Analyst or in a similar role (+2), preferably in a fast-growing company
- Strong understanding of accounts payable processes, payment terms, and invoice reconciliation.
- Proficient in using accounting software and tools, with experience in ERP systems (such as Netsuite) preferred.
- Familiarity with expense management software.
- Knowledge of expense policies and compliance requirements, including travel expenses and meals & entertainment budget.
- Excellent attention to detail, accuracy, and data entry skills.
- Strong problem-solving and analytical abilities.
- Effective communication and interpersonal skills to interact with vendors and internal stakeholders.
- Ability to work independently in a remote setting, managing priorities and meeting deadlines.
- Proactive mindset with a focus on process improvement and efficiency.
