Role Overview
As the Design Project Coordinator, you’ll partner with Cortland Design leadership coordinating project information and using it to generate actionable feedback to the Design Team, consultants, and internal stakeholders. Your processes and reporting will help keep design projects organized, profitable and aligned with Investments’ and Operations’ project goals. Strong communication skills, digital savvy, attention to detail and an eye for process improvement are key characteristics of the successful candidate. This position will report directly to the EVP - Cortland Design & Architecture.
Design & Consultant Coordination
- Coordinate information flow between Interior Design/Architecture, Construction, Investments and external consultants
- Draft Terms Sheets, Service Proposals and other vehicles of design services for all Cortland Design work; manage review and approval process
- Coordinate design related RFI’s and submittals with internal design teams and consultants
- Manage Cortland Design’s third-party building scanning vendor(s) including Requests For Proposal, consultant fee proposals, scheduling and payables
Project Schedules, Budgets & Controls
- Partner with Cortland Build’s Pre-Construction Team to develop and maintain project schedules including design deliverables, stakeholders’ feedback and consultant milestones
- Monitor project timelines and flag risks related to scope, approvals, or deliverables
- Coordinate design presentation signoffs and design modifications after project kickoff; maintain approval logs
- Track consultant invoices and assist with budget alignment alongside Design and Investments
- Leverage internal project performance tools to co-pilot monthly Project Review meetings with the EVP and Directors of Architecture and Interior Design
- Manage and maintain Cortland Design’s project time log platform (project set-up, additional services); coordinate with accounting team
Design Project Execution
- Draft and coordinate Requests for Proposals; lead third-party Architect/Engineer project onboarding activities
- Partner with Studio Managers to schedule and coordinate project kickoff meetings and recurring project touchpoints
- Manage information exchange between Cortland Design and Cortland Build teams
- Contribute to process improvements that streamline design project management workflows
Qualifications
- 2+ years of experience in project coordination, design operations, or project management within interior design, architecture, multifamily investments or construction
- Bachelor’s degree in Interior Design, Architecture, Construction Management, Business Management or a related field (or equivalent experience)
- Strong organizational skills with the ability to manage multiple tasks and priorities of varying scope and timelines
- Proven success in process development and an instinct for efficiency
- Clear, professional written and verbal communication skills
- Detail‑oriented mindset with a proactive, problem‑solving approach
- Proficiency in Microsoft Office, Smartsheet; understanding of accounting and project delivery workflows; familiarity with Bluebeam
