Role Overview
The Executive Assistant will support the Chief Financial Officer, Chief Technology Officer and other executive leadership, serving as a trusted partner and strategic liaison across the Finance organization and broader business. This role acts as a key point of coordination among executive leadership, business partners, external advisors, financial institutions, auditors, board members, and other stakeholders, ensuring the efficient flow of information, priorities, and decision-making.
The Executive Assistant will help drive execution across a wide range of initiatives by facilitating communication, managing competing priorities, coordinating critical meetings and deliverables, and supporting the CFO and CTO's organizational effectiveness. This position is ideal for a highly organized, proactive professional who thrives in a fast-paced environment, exercises sound judgment and discretion, and is energized by working closely with senior leaders on high-impact business priorities. It offers unique visibility into the company's financial strategy, operations, and executive decision-making processes.
Executive Partnership & Leadership Support
- Serve as a highly trusted partner to the Chief Financial Officer, Chief Technology Officer and other executive leaders, acting as an extension of the Office and maintaining the highest level of confidentiality, professionalism, and judgment.
- Proactively manage priorities, anticipate business needs, and ensure seamless execution of key financial, strategic, and leadership initiatives.
- Drive accountability and alignment across executive leaders, business partners, and external stakeholders by tracking critical deliverables, decisions, and action items.
- Represent the CFO, CTO and Finance organization with credibility, professionalism, and a commitment to Cortland's culture and values in all interactions.
Executive Operations, Calendar & Travel Management
- Manage and prioritize multiple leader’s complex calendars, balancing Board and Audit Committee activities, executive leadership meetings, strategic planning sessions, lender and banking relationships, investor interactions, and cross-functional priorities.
- Coordinate all aspects of domestic and international travel, executive events, leadership offsites, and meeting logistics to ensure a seamless and highly effective executive experience.
- Prepare agendas, briefing materials, presentations, and meeting packets for key leadership, Board, and external stakeholder engagements.
- Anticipate executive needs, resolve scheduling conflicts, and manage sensitive business, financial, and personal information with the highest degree of discretion.
Board, Communication & Administrative Support
- Facilitate communication and collaboration across Finance, Accounting, Treasury, Tax, Legal, Technology, Operations, and Executive Leadership to drive organizational alignment and execution.
- Coordinate Board of Directors, Audit Committee, and executive leadership meetings, including scheduling, agenda development, meeting materials, governance support, and follow-up action tracking.
- Manage executive correspondence, expense reporting, approvals, contracts, confidential documentation, and other business-critical records with accuracy, urgency, and attention to detail.
- Identify opportunities to streamline processes, improve operating efficiency, and strengthen the effectiveness of the Office of the CFO and CTO through standardization, automation, and continuous improvement.
Qualifications
Experience & Education
- Prior experience supporting senior leaders in capital markets, investment banking, private equity, real estate finance, investor relations, or a similarly fast-paced investor-facing environment is preferred.
- Prior experience in Project Management, including planning, execution, and follow-through on deliverables is preferred.
- Bachelor’s degree preferred but not required.

- Proven success managing complex calendars, travel, and event logistics with precision and urgency.
- Excellent written and verbal communication skills.

- Exceptional prioritization and triaging skills; able to protect executive focus, make judgment calls independently, and manage rapid context-switching.
- Strong organizational and time-management abilities; adept at multitasking with precision and attention to detail.
- Demonstrate advanced proficiency in modern productivity, communication, and project management tools; introduce improvements that increase visibility and reduce friction (e.g., Outlook/Teams/Zoom, Asana/Smartsheet, CRM).
