This position is remote, with the expectation of commuting to our corporate office in Virginia Beach, VA, as needed. Candidates must reside in EST.
The Executive Assistant and Communications Specialist provides high-level administrative and communications support to members of our executive leadership team, including the Chief Operating Officer, Chief Financial Officer, Chief of Partnerships, and Chief Aviation Officer. This role manages complex calendars, coordinates travel, oversees executive communications, and contributes to internal messaging that supports alignment across the organization.
JOB FUNCTIONS, DUTIES, AND RESPONSIBILITIES
- Coordinate all aspects of domestic and international travel, including flights, accommodations, itineraries, and expense reporting.
- Monitor and manage the executives' email inbox, draft responses, and handle correspondence as needed. Ensure timely and professional communication.
- Prepare and edit reports, presentations, and other documents as required. Ensure all materials are accurate and professionally presented.
- Organize and prepare agendas, take minutes, and follow up on action items from meetings.
- Assist in drafting and distributing internal communications, newsletters, and announcements. Ensure clear and consistent messaging across the organization.
- Create and edit content for internal communications, including intranet updates, email communications, and other digital platforms.
- Support the planning and execution of internal events, such as town halls, team meetings, and company-wide communications.
- Participate in formal and informal mentoring of new employees to support onboarding, training, and joining a positive working culture that supports the institution and its students.
QUALIFICATIONS
- Bachelor’s degree in business administration, Communications, or a related field (preferred).
- Minimum of 5-7 years of experience supporting C-level executives.
- Demonstrated ability to handle highly sensitive and confidential information with the utmost discretion.
- Ability to work in a fast-paced, performance-driven, compliance-oriented educational environment.
- Detail-oriented, analytical, highly organized, and can multi-task and work well under pressure.
- Exemplify a high level of integrity, strong work ethic, and professionalism
- Outstanding written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.
- Highly motivated and goal-oriented, with strong problem-solving skills.
- Must be able to work independently and as a collaborative team member and have exceptional interpersonal skills.
- Excellent computer skills are required with advanced proficiency in MS Office applications, including Word, Excel, Outlook, SharePoint, and Teams. Ability to quickly learn and adapt to new technologies and systems.
- Ability and willingness to work outside of regular business hours, including evenings and/or weekends as necessary or as requested by Supervisor.
- Ability and willingness to travel locally and/or overnight for business purposes.
Work Schedule
- Full-Time Role: Standard business hours, Monday through Friday, and as needed outside of standard hours.
- Remote (with the expectation of commuting to our corporate office in Virginia Beach, VA, as needed. Candidates must reside in EST.)
What We Offer
