The Role

We're looking for a Production Operations Manager (AI & Automation) who thinks in systems, builds with urgency, and gets genuinely excited about using AI to make creative teams faster and smarter.

This is not a "document the process" role. It's a "design, build, and ship the process" role.

You'll own the operational backbone of our production team - designing workflows, building internal tools, eliminating friction, and using modern AI to scale how we work. You'll sit at the intersection of sales, production, and creative, making sure every project moves from deal close to final delivery without dropped balls or wasted motion.

A week in this role might look like: auditing a handoff breakdown between sales and production, building an automation in Monday.com to surface at-risk projects before they slip, prototyping a brief intake tool using Claude or Bolt, and running a resourcing review to align talent to the next sprint of incoming work.

 

What You'll Do

Production Operations

  • Own and continuously improve the handoff process between Sales and Production — ensuring scopes, briefs, timelines, and expectations are locked before creative work begins
  • Build and maintain scalable production workflows supporting high-volume output across static, video, animation, and interactive formats
  • Design a standardized resourcing process that matches creative talent to projects and prevents bottlenecks before they happen
  • Develop and maintain a polished client onboarding process — covering asset delivery, approvals, communication norms, and project expectations
  • Identify friction points across the production pipeline and implement durable solutions, not workarounds

Workflow Automation & Internal Tools

  • Use AI tools — including Claude, ChatGPT, Cursor, Zapier, Bolt, Make, n8n, and similar platforms — to build internal tools, automations, and workflow improvements
  • Reduce manual overhead by developing automation across production workflows and internal systems
  • Build dashboards and automation inside Monday.com that give real-time visibility into workload, capacity, and project status
  • Develop and maintain internal systems: live production calendars, capacity trackers, and operational dashboards

Operational Infrastructure

  • Keep internal systems clean, accurate, and accessible so production data can actually be trusted
  • Create documentation and training materials that help teams adopt new tools without friction
  • Provide leadership with regular reporting on operational health, workflow efficiency, and production performance
  • Support margin visibility and project-level operational insights

Business Operations

  • Partner with leadership to identify operational opportunities that expand service offerings
  • Manage internal department expenses and approve freelancer invoices within project budgets
  • Help build the operational foundation that scales with CRAFTSMAN+ as we grow

 

What We're Looking For

You are a systems thinker with a builder's bias - someone who sees a broken process and immediately starts designing the fix.

  • 3–5 years in production operations, project management, or producer roles within a creative agency, marketing studio, or production environment
  • Hands-on experience using AI tools to automate workflows, prototype internal tools, or improve operations — not just familiarity, but actual shipped work
  • Deep understanding of creative production pipelines across digital marketing, motion, video, or interactive media
  • Experience building workflows in Monday.com, Asana, Notion, or similar platforms
  • Strong communicator who can translate fluently between sales, production, and creative teams
  • Comfortable holding multiple operational initiatives at once without losing detail or momentum
  • Collaborative by default, with a genuine investment in team success over individual credit

You don't need a decade of AI experience - nobody does. What matters is curiosity, hands-on experimentation, and the drive to apply new tools in real, practical ways.

Compensation is based on experience, location, and role scope and will be discussed during the interview process. We're committed to paying competitively for the right person.
