General Purpose of the Position |
Responsible for performing a variety of Loan Servicing Department support duties including prepping, scanning, and importing member advocate work, loan records, Auto Loan & Real Estate files, titles, and Credit Union documents and records. Ensures that electronic, paper, and other media records are stored accurately and are accessible to Credit Union personnel promptly. Maintains and updates files and researches and resolves recordkeeping errors and discrepancies. Completes assigned reports and documents.
ESSENTIAL DUTIES AND RESPONSIBILITIES (includes the following). May perform other duties as requested or assigned.
- Preps documents for scanning and places documents in correct order for scanning and indexing into optical system.
- Scans and imports loan documents, teller work, membership applications, auto loan & real estate records, titles, mortgage, and miscellaneous paperwork as assigned. Ensures that all paperwork is scanned accurately, all imported documents are indexed properly and are easily accessible on the Imaging System. Follows designated scanning order according to established priorities.
- Ensures that record retention processes are completed in accordance with established Credit Union policies and procedures.
- Complete collateral management tasks and duties in a timely manner
- Release lien on Auto loans
- Release lien on Other Secured (UCC)
- Processes and maintains Insurance Claims
- Reviews GAP and Warranty monthly invoices. Makes corrections as needed.
- Processed GAP and Warranty claims
- Processes GAP refunds
- Sending Demand Letters
- Good understanding of Deed of Trust documents
- Ensures requests for reseach, subpoenas, and other records requests are handled promptly and in accordance with procedures.
- Maintains, updates, and purges files and records as appropriate.
- Performs batch/document indexing.
- Responds to questions from members and Credit Union personnel. Researches information, and resolves problems, errors, or discrepancies in records.
- Identifies and indexes documents that cannot be read and ensures that they are filed in the correct location.
- Ensures that reports and documents are accurate, up-to-date, and completed within established deadlines.
- Obtains and conveys information as needed. Answers questions and resolves problems promptly and courteously.
- Assists related departments as needed.
- Supports all Records Department personnel as needed.
- Keeps management informed of area activities and of any significant problems.
- Attends and participates in meetings as required.
- Maintains member confidentiality.
- Maintains and protects the Credit Union's professional reputation.
- Provides excellent service by demonstrating courtesy and personal concern for the needs of members and co-workers and follows-up to ensure those needs are met.
Requirements |
EDUCATION AND EXPERIENCE
High school diploma or general education degree (GED) required; one to three years of related experience and/or training; or equivalent combination of education and experience.
OTHER SKILLS AND ABILITIES
Knowledge of Imaging Systems processes and scanning equipment. Able to use related PC applications. Knowledge of Credit Union computer system and other related computer applications. Ability to apply oral and interpersonal skills that develop member confidence, respect and trust in Credit Union of Colorado and develop cooperative relationships with all levels of people throughout the organization.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is typically required to sit for long periods. The employee continually is required to talk or hear. The employee is occasionally required to stand, walk, stoop, and reach with hands and arms. The employee will occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
