General Purpose of the Position 

The Administrative Assistant provides essential support to ensure the efficient operation of the organization. This role supports C-level executives, Board members, and the Supervisory Committee by managing communications, scheduling meetings, coordinating events, maintaining records, and assisting with various projects. As a key point of contact within the organization, the Administrative Assistant helps facilitate smooth day-to-day operations, supports team productivity, and reinforces the credit union’s Core Values through professional conduct, collaboration, and commitment to supporting others. 

ESSENTIAL DUTIES AND RESPONSIBILITIES (May perform other duties as requested or assigned) 

  • Efficiently coordinates complex calendars for C-level leaders, scheduling a diverse range of meetings including board, supervisory, management, and high-profile client engagements. Anticipates scheduling conflicts and proactively implements solutions to ensure seamless operations. 
  • Serves as the primary point of contact for C-level executives and board members, expertly managing and prioritizing all incoming visitors, telephone calls, and mail. Proactively resolves inquiries, requests, and issues, exercising sound judgment and discretion, or directs them to the appropriate personnel for resolution. 
  • Regularly reviews organizational operating practices and recommends or implements process improvements to optimize executive and board workflows. Oversees and completes detailed expense reporting for C-level executives and conducts thorough reviews of manager expense submissions for accuracy and compliance prior to reimbursement. 
  • Composes, edits, and assembles a variety of confidential documents, memos, letters, and board reports with a high degree of professionalism and confidentiality.  
  • Coordinates, plans, and executes meetings and events for executives, the organization, and board members, ensuring all logistical details are managed efficiently.  This includes scheduling, negotiating contracts with vendors and monitoring vendor’s performance against agreed upon terms as required. 
  • Maintains both physical and digital filing systems for correspondence, records, and reports, ensuring accuracy, organization, and confidentiality. 
  • Acts as the liaison to board members, facilitating regular communication regarding education opportunities, upcoming meetings, planning sessions, conference registration, travel arrangements, and reimbursement processes.  
  • Fosters goodwill and always portrays a positive image of the credit union.   
  • Ensures that work area is clean, secure, and well maintained.  
  • May perform other duties as requested or assigned.  
  • Adheres to all Federal and State laws and regulations applicable to the credit union, including the Bank Secrecy Act and OFAC.  

 

Requirements 

EDUCATION AND EXPERIENCE 

High school graduate or equivalent. Some college preferred. Three to five years of administrative experience, with at least two years as an executive assistant. Demonstrates advanced proficiency in Microsoft applications, including Outlook, Word, Excel, and PowerPoint. Possesses strong internet research skills with the ability to effectively search online resources and leverage technology to increase efficiency of business processes.

Proficient typing skills. Able to perform dictation and transcription tasks. Ability to operate a ten key. Good interpersonal and public relations skills. Solid analytical, creative, and problem-solving abilities. Project management skills and well organized. Able to work well independently. Attention to detail and accuracy. Judgment and decision-making ability. Information gathering and information monitoring skills. Organizational, planning and communication skills. 

Typing is accurate, neat, and promptly completed. Member and staff inquiries are courteously attended to.  Good business relations exist with members.  Telephone calls and visitors are courteously received. Documents and reports are accurately produced and up to date.  Files are well-maintained.  Good communication and coordination exist with area personnel and with management.  Assistance is provided as needed.  Management is appropriately informed. A professional image is projected and maintained. 

PHYSICAL DEMANDS 

While performing the duties of this job, the employee is typically required to sit for long periods.  The employee continually is required to talk or hear. The employee is occasionally required to stand, walk, stoop and reach with hands and arms. The employee will occasionally lift and/or move up to [10] pounds.  Specific vision abilities required by this job include close vision and the ability to adjust focus.
