
Loan Servicing Mail Technician
Pay Range: $18.65-$22.36

General Purpose of the Position
The Loan Servicing Mail Technician is responsible for the efficient processing of return mail, including research and resolution of mail exceptions, and the accurate management of loan servicing records. This role also involves document imaging, indexing, and ensuring compliance with record retention policies, while providing excellent service to members and internal stakeholders.
Essential Duties and Responsibilities
Mail Payment Processing:
- Review and process all incoming mail payments for the credit union, including sorting, tracking, and researching mail payments.
- Process and balance check transactions daily for Loan Servicing.
- Image and validate negotiated checks for various back-office departments.
- Partner with IT to support on-going maintenance of Remit Plus.
- Partner with Payments to support accurate Online Banking Bill Pay records.
Document Imaging, Indexing and Address Reporting:
- Review and process all incoming return mail for the credit union, including sorting, tracking, and researching mail exceptions.
- Audit monthly NCOA reports to ensure automation is functioning correctly.
- Research and resolve issues related to returned new member packets, loan coupon books, and tax documents.
- Notate accounts and escalate issues to the Risk department as needed.
- Prepare, scan, and import loan documents, teller work, membership applications, real estate records, titles, and other credit union records into the imaging system.
- Ensure accurate scanning, indexing, and accessibility of all electronic documents.
- Perform batch/document indexing and resolve issues with unreadable documents.
Records Management and Retention:
- Maintain and update electronic and physical loan servicing records, ensuring accuracy and compliance with retention policies.
- File paper records related to collateral loans.
- Purge files and records according to established schedules.
- Ensure proper storage of tax documents for required retention periods.
Information Retrieval and Support:
- Fulfill requests for research, subpoenas, and other records.
- Respond to inquiries from members and credit union personnel via the ZenDesk ticketing system.
- Assist related departments with loan servicing record requests.
Operational Efficiency and Compliance:
- Ensure all recording processes comply with credit union policies and procedures.
- Complete assigned reports and documents accurately and within deadlines.
- Keep management informed of area activities, potential issues, and trends.
- Proactively recommend efficiency improvements.
- Maintain member confidentiality.
Member Service and Teamwork:
- Provide excellent internal and external customer service, demonstrating courtesy and professionalism.
- Support other loan servicing department personnel as needed.
- Participate in meetings as required.
- Performs additional duties and responsibilities as assigned.
Requirements
EDUCATION AND EXPERIENCE
Six months of related experience and/or training; or equivalent combination of education and experience.
OTHER SKILLS AND ABILITIES
Knowledge of Imaging Systems processes and scanning equipment. Able to use related PC applications. Knowledge of Credit Union computer system and other related computer applications. Ability to apply oral and interpersonal skills that develop member confidence, respect and trust in Credit Union of Colorado and develop cooperative relationships with all levels of people throughout the organization.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is typically required to sit for long periods. The employee continually is required to talk or hear. The employee is occasionally required to stand, walk, stoop, and reach with hands and arms. The employee will occasionally lift and/or move up to 50 pounds.
