Document Control Assistant

ReconCraft is seeking a Document Control (DC) Assistant to support the Quality Department in maintaining accurate, organized, and up-to-date documentation for the company’s Quality Management System (QMS) in Clackamas, Oregon. Under the direct supervision of the Document Control Specialist, the DC Assistant will enter, maintain, and verify information across various systems and databases, including SharePoint.

The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to accurately manage both digital and hard-copy records. This position requires the ability to identify discrepancies, maintain document integrity, and communicate issues promptly to the appropriate personnel.

Responsibilities (include but are not limited to):

  • Support day-to-day document control activities within the Quality Department.
  • Accurately transfer information from hard-copy documents into digital databases and systems.
  • Enter and maintain text-based and numerical information from source documents.
  • Organize and maintain data within spreadsheets and other tracking systems.
  • Review documentation for errors, discrepancies, omissions, and other deficiencies.
  • Update engineering drawing revisions, titles, and related documentation.
  • Review records for outdated information and make appropriate updates as necessary.
  • Develop and maintain spreadsheets to track critical information, including welder IDs, equipment, and other quality-related data.
  • Search, retrieve, and investigate information contained within files and records.
  • Maintain shop workbooks to ensure they remain current, accurate, and intact.
  • Communicate important document and data-related information to relevant departments and personnel.
  • Utilize Microsoft Word, Excel, Adobe applications, SharePoint, and other office systems to complete assigned tasks.
  • Operate standard office equipment, including scanners and printers.
  • Perform additional duties and responsibilities consistent with the goals and objectives of the company, department, and contract.

 Essential Job Qualifications and Requirements:

  • Citizenship:
    • U.S. citizenship is required for this contract position
  • Education:
    • Associate’s degree or equivalent combination of education and relevant experience
  • Required Experience:
    • Minimum of two (2) years of data entry experience
    • Experience reading and interpreting engineering drawings, including drawing symbols, flag notes, and general notes
    • Experience performing general office administrative functions
  • Required Knowledge, Skills, and Abilities:
    • Ability to accurately follow written and verbal instructions
    • Ability to read and understand production travelers
    • Ability to adhere to established safety and quality control procedures
    • Strong attention to detail and accuracy when entering and maintaining information
  • Physical Requirements:
    • Ability to lift up to 50 pounds
    • Ability to stand for extended periods
    • Ability to climb up and down ladders
    • Ability to bend, grasp, sit, pull, push, stoop, and stretch as required to perform job duties
  • Preferred Qualifications
    • Certification in Records Management.
    • Experience working with SharePoint or similar document management systems.
    • Demonstrated ability to learn and adapt to new processes and systems.
    • Ability to work extended hours, when required, to meet deadlines and deliverables.

 

Position Pay Range

$25 - $28 USD
