ABOUT CJA

The New York City Criminal Justice Agency (CJA) is a not-for-profit service and research organization that operates in partnership with the New York City Mayor’s Office of Criminal Justice.  CJA is the City’s main pretrial services agency, combining operations, pilot projects, and research under one roof.  CJA utilizes procedural justice practices to provide pretrial services to over 100,000 persons arrested annually in New York City. Information collected about these arrestees and subsequent case processing is maintained in the agency’s internal and externally shared database systems, which are used to conduct descriptive and evaluation research on arrestee characteristics, case processing and court outcomes, and on issues and potential reforms to criminal justice policy in New York City. CJA’s programs operate in the criminal courts and detention facilities 24 hours a day seven days a week within the 5 boroughs of NYC, employing over 280 employees, citywide.

IT EXECUTIVE ADMINISTRATOR 

NYCJA’s Information Technology team provides strategic vision, leadership, and innovative solutions so that our 280+ staff at 13 locations have the trusted data and applications they need to deliver high-quality pretrial services and research. IT staff have a strong customer focus, partnering with business units and stakeholders to pilot new programs and create custom applications with an eye toward future business needs. POSITION SUMMARY

The IT Executive Administrator works side by side with the CIO providing high level administrative and operational support that keeps the CIO and the technology team running smoothly.  In this crucial role, you will be responsible for managing daily operations and communications, planning by organizing and preparing materials for projects, meetings and events and coordinating with the IT leadership and the rest of the CJA Executive team to maintain the flow of information and foster a culture of accountability and high performance.

PRIMARY RESPONSIBILITIES

  • Stakeholder Relations – Establish and maintain strong working relationships with executive leadership, internal teams and key external stakeholders.  Facilitate cross department and inter-agency projects by understanding Agency priorities, each stakeholder’s importance to IT/CJA and who is best able to address any issues that arise.
  • Coordination & Communication - Act as CIO’s primary point of contact, strategically managing competing priorities and protecting work blocks.  Exercise initiative and good judgement when recommending actions and making decisions. Provide a central communications hub for IT leadership by triaging messages/situations, escalating and following up as appropriate.    
  • Planning and Project support – Support IT planning by organizing strategy meetings, coordinating the development and maintenance of technology project plans, roadmaps, policy documents and status reports.  Follow up on key initiatives and action items.  Identify risks and eliminate bottlenecks to drive progress and help ensure commitments are met.
  • Special Projects - Lead special projects and other operational initiatives, setting objectives, aligning priorities and monitoring progress. Conduct research/data collection using data analysis techniques and best judgement, report findings and recommendations. 
  • Meeting Preparation - Partner with IT leadership to ensure staff are well prepped for internal & external meetings.  This could include drafting agendas, gathering relevant materials, preparing/editing memos, reports, presentations as well as documenting notes and action items.
  • Budget Management – Manage the budget process for IT, track and report expenditures and resource allocations, assist with procurement and manage contract and data sharing agreements. 
  • Staff development - Support the onboarding & retention of staff by helping to create a welcoming environment that values continuous learning.   Facilitate required paperwork, interviews/reviews and ensure that all staff have access to needed resources.  Work with the leadership team to identify and disseminate training opportunities, coordinate training and schedule conference & event attendance.

REQUIRED QUALIFICATIONS AND SKILLS

  • Experience: 5+ years of experience as an Executive Administrator or similar role supporting executives, preferably in a highly technical environment.
  • Education: A bachelor’s degree in Technology, Business Administration or equivalent experience.
  • Exceptional communication skills: A positive attitude and a customer-oriented approach are required as well as the ability to communicate clearly and effectively at all organizational levels and with stakeholders that are both highly technical and non-technical. 
  • Resourceful & Reliable: Able to work independently and quickly understand, absorb complex information, using sound judgement and discretion when deciding next steps.  Takes initiative and responsibility, working to find solutions in a respectful, team-oriented manner.
  • Project management skills: Extremely detail-oriented, able to identify and manage project tasks and processes, prioritize effectively, and hold yourself and others accountable for results.
  • Problem-solving skills: Ability to multitask and adapt to a fast-paced environment working with urgency on requests/situations that require a quick turnaround.  Work collaboratively to identify and troubleshoot technical problems and find solutions. 
  • Technical aptitude: Understand IT functions, software development lifecycle, use standard tools to prioritize effectively and manage tasks & projects.  Ensure that documents are organized, version controlled, and easily retrievable.
  • Strong administrative skills: Able to anticipate needs, multitask and prepare polished, professional documents using your extensive knowledge of the Microsoft suite of products (Teams, Outlook, Excel, Power Point, Word, Power BI, Planner). Develop processes and procedures to organize work.

Schedule: Tues-Thurs on site/ Mon & Friday work from home 

**Please note this role may occasionally require additional in office days

SALARY: $93,000- $98,000 annually
