As an Intake Specialist/Office Manager, you will be the first point of contact for prospective clients, ensuring their needs are addressed promptly and empathetically. This role combines the responsibilities of managing client intake processes with overseeing the smooth operation of the office. Reporting directly to the law firm owner, you will play a pivotal role in enhancing the firm’s efficiency and client service.
What you’ll do:
Client Intake Management:
- Serve as the primary contact for incoming client inquiries, providing compassionate and professional communication.
- Conduct initial client screenings to determine their legal needs and schedule consultations.
- Collaborate with the firm owner to evaluate and refer clients to external attorneys when necessary.
- Track and follow up on leads, ensuring potential clients receive timely responses and solutions.
Office Management
- Supervise administrative staff, ensuring office operations run smoothly.
- Manage office supplies, equipment, and vendor relationships to maintain a functional work environment.
- Coordinate schedules, including consultations, team meetings, and court-related activities.
Data Management
- Maintain organized records of client information, referrals, and case progress using tools like Excel.
- Generate reports tracking intake metrics, case conversion rates, and referral patterns.
Proactive Problem-Solving
- Identify and address areas for operational improvement, streamlining processes for efficiency.
- Take initiative to ensure tasks are completed effectively, often with minimal supervision.
What we’re looking for:
Qualifications and Skills
- Minimum of 3 years’ experience in client intake or office management, preferably in a legal setting.
- Strong proficiency in Microsoft Office Suite, particularly Excel.
- Exceptional organizational skills with keen attention to detail.
- Outstanding communication skills, both verbal and written, with a client-focused approach.
- Ability to manage competing priorities in a professional environment.
