We are seeking a highly organized and proactive Executive Assistant to support David Lever, a managing partner at our firm. This role is pivotal in ensuring operational efficiency and maintaining high standards of service. From managing calendars and emails to coordinating events and overseeing administrative functions, you will play an essential part in the success of Lever & Ecker, PLLC.
What you’ll do:
Administrative Management:
- Prioritize and manage email communications, identifying critical messages.
- Oversee and maintain an organized calendar, scheduling professional and personal appointments, ensuring all items from Office 365 and Smart Advocate are reflected accurately.
- Handle reporting tasks, primarily focusing on operational and marketing matters. As the role evolves, assist with financial reporting by reviewing reports from our external Fractional CFO and bookkeeping/controller team as needed.
Marketing and Operational Support:
- Coordinate with external teams to align marketing and social media content with firm standards.
- Collaborate with a digital SEO team, a local marketing/PR team, a Fractional CMO, and a PR consultant to manage marketing efforts, social media sites, local media opportunities, and promotions.
- Manage firm subscriptions, renew bar memberships, and oversee paperwork completion.
- Plan and execute firm and client events, including SWAG coordination and mailing lists.
- Assist in setting up satellite offices, ordering furniture, and managing logistics.
Personal Support for Leadership:
- Schedule personal appointments, coordinate travel arrangements, and manage bill payments for personal items.
- Ensure timely completion of tasks, from booking hotels to managing mailing lists.
What We’re Looking For:
- Experience: Proven experience as an executive assistant or in a similar role; prior law firm experience is a plus.
- Skills: Exceptional organizational abilities, attention to detail, and communication skills.
- Attributes: Integrity, humility, and empathy, with a team-oriented yet independent mindset.
- Tech-Savvy: Proficiency in email and calendar management systems.
- Proactive Attitude: A self-starter who anticipates needs and delivers solutions efficiently.
