As the Paralegal / Office Manager, you will serve as the cornerstone of our legal and operational excellence. This is not a beginner position—it requires a seasoned professional with significant experience in civil litigation, particularly in plaintiff-side firms. You will manage complex cases from inception to trial while overseeing office operations, supervising junior staff, and ensuring the seamless day-to-day functioning of the firm.

This dual-role position offers the opportunity to directly impact our firm’s growth, with responsibilities ranging from trial preparation to operational strategy.



What you’ll do:

Case Management and Litigation Support

  • Draft and file court-ready state and federal pleadings, motions, discovery requests, and responses with attention to detail.
  • Maintain and flawlessly manage litigation calendars, ensuring compliance with deadlines for discovery, hearings, and other case milestones.
  • Prepare for trials, including organizing exhibits, drafting trial binders, and liaising with clients and witnesses.
  • E-file documents in state and federal court systems.
  • Handle high-volume docket management, ensuring cases move efficiently through the litigation pipeline.

Office Operations and Team Leadership

  • Supervise and guide administrative staff and junior associates to maintain operational excellence.
  • Act as the primary point of contact for day-to-day office needs, from ensuring deadlines are met to troubleshooting issues.
  • Implement organizational best practices, including the development and refinement of standard operating procedures (SOPs).

Client Interaction and Relationship Management

  • Build and maintain professional relationships with clients, providing regular updates and ensuring their concerns are addressed promptly.
  • Serve as a client advocate, ensuring every interaction reflects the firm’s commitment to excellence.

Additional Responsibilities

  • Oversee general administrative functions.
  • Provide input on strategies to improve office efficiency and enhance client service.

 


What we’re looking for: 

Experience and Education

  • Minimum 10 years of legal experience, including 5+ years in litigation at a plaintiff-side law firm.  Plaintiff personal injury litigation experience at a  medium-to-large firm generally provides good cross-over experience. 
  • File-to-trial experience with a strong emphasis on trial preparation and motion drafting.
  • Paralegal certification from an ABA accredited program is strongly preferred, however open to candidates without the certification but 10+ years litigation experience and equivalent practical experience.
  • Office manager or large project management experience.

Skills and Competencies

  • Exceptional organizational and multitasking skills, with a meticulous attention to detail.
  • Proficiency in legal drafting, e-filing, and calendaring in state and federal courts.
  • Strong communication skills, both written and verbal.
  • Advanced proficiency in Microsoft Office Suite and MAC/Apple systems.
  • Experience with cloud-based client management software is a plus.

Personal Attributes

  • Team-oriented mindset with a "firm-first" attitude.
  • Ability to work independently with minimal supervision while maintaining accountability.
  • Positive, professional demeanor with grace under pressure.
  • Spanish bilingual skills are a significant plus but not required.

Additional Requirements

  • Notary certification or willingness to obtain.
  • Resides within 30 minutes of the office for punctual and consistent attendance.
  • Must pass a background check.

  • Salary range: $70,000–$75,000 annually, commensurate with experience.
  • Health insurance stipend provided.
