To continue delivering on this mission, we are seeking an Intake Specialist who will serve as both the welcoming voice for potential clients and a key driver of operational efficiency. This role is crucial in understanding client needs, conveying the value of our services, and ensuring a smooth transition into our legal processes. As the first point of contact, you will shape the client experience, build trust, and drive the firm’s growth—all while ensuring the backend operations run smoothly. This role serves as the connecting force between departments, helping to refine workflows, implement changes to enhance the client experience, and optimize internal systems. This position is ideal for someone with a strong sales or intake background who also excels in process improvement, data-driven decision-making, and strategic execution.

 

What you’ll do:

  • Intake: Conduct thorough intake interviews with potential clients, gathering key details about their case, assessing their needs, and determining how our firm can best assist them.
  • Client Engagement: Serve as the initial point of contact for potential clients, building rapport and trust through empathetic and effective communication.
  • Value Presentation: Clearly and effectively communicate the value of our firm’s services, addressing client concerns and emphasizing our unique strengths—dedication to strategic advocacy, unwavering support, and a results-driven approach to achieving the best possible outcomes.
  • Operational & Administrative Support: Work closely with paralegals and attorneys, assisting with client communications, resolving operational challenges, and ensuring smooth workflows. Support administrative functions such as collections, invoicing, and document management to enhance efficiency and maintain smooth daily operations.
  • Systems & Process Optimization: Support both intake and operations by refining workflows, improving coordination, and enhancing efficiency. Identify and implement solutions to streamline processes and eliminate bottlenecks.
  • Data Analysis & KPI Development: Track intake performance, client conversion, and operational efficiency. Help develop KPIs that drive decision-making, accountability, and business growth.
  • Strategic Operations & Business Growth: Support the firm’s operational strategy by identifying growth opportunities and implementing process improvements. Work with leadership to align intake and operations with long-term goals.


What we’re looking for: 

  • Background: Proven experience in a client-facing role, preferably within a legal setting or in high-ticket sales environments.
  • Sales Acumen: Demonstrated ability to close engagements effectively, particularly in situations requiring a consultative sales approach.
  • Administrative Experience: Strong organizational skills with experience in administrative tasks such as invoicing, collections, and document management.
  • Operational Proficiency: Skilled in analyzing and improving workflows to enhance efficiency and effectiveness. Adept at coordinating cross-functional tasks, supporting teams, and ensuring seamless operations.
  • Business Acumen: Strong understanding of client engagement, revenue generation, and process efficiency. The ideal candidate understands how operational performance and client satisfaction impact overall business growth.
  • Communication Skills: Exceptional verbal and written communication abilities, with a talent for building trust and conveying value.
  • Grit & Tenacity: Highly driven and resilient, with a strong commitment to achieving results. Willing to take on challenges head-on, adapt to obstacles, and persist through difficulties to deliver outcomes that matter.
  • Problem-Solving Ability: Skilled at identifying challenges, analyzing root causes, and implementing effective solutions.
