What you’ll do:

  • Estate Planning Case Management: Ensure cases progress efficiently from intake to the final document signing, by managing tasks, tracking deadlines, and verifying all requirements and documentation are completed on time. Monitor case statuses to prevent delays and ensure timely actions.
  • Document Preparation: Prepare legal documents such as Deeds, Simple Wills, Power of Attorney, and Probate Court Petitions.  
  • Estate Planning Support: Attend client consultations with attorney, and take detailed notes, ensuring all client information is collected accurately. Compile data, ensure checklists are completed, and log information into the firm’s CRM system.
  • Client Interaction: Act as point of contact for clients, maintaining a compassionate and professional demeanor. Collaborate with clients to gather case information, provide updates on case progress, and ensure their needs are met throughout the legal process.
  • Document Management: Organize and maintain both electronic and physical case files using document management tools like Clio. Analyze case timelines, project statuses, and settlement negotiations to ensure deadlines are met.


What we’re looking for: 

  • Experience: 2-3 years of experience as a paralegal, ideally in Estate Planning law firm,, with a strong understanding of case workflows and documentation processes.
  • Technical Skills: Proficiency in CRM systems, document management tools, and Microsoft Excel, with the ability to organize, track, and analyze case-related data effectively.
  • Language Skills: Proficiency in Spanish is highly preferred to effectively communicate with Spanish-speaking clients and provide them with exceptional support.
  • Problem-Solving and Task Management: Ability to assess cases, identify missing elements, and determine actionable steps to move tasks forward. Demonstrates a proactive approach to finding and solving problems independently, while maintaining a big-picture perspective on case management.
  • Client-Focused: Committed to advocating for clients with diligence and care, ensuring their needs are prioritized and their cases are handled with compassion and dedication.
  • Communication: Strong verbal and written communication skills, with the ability to interact professionally with clients while maintaining accurate records.
  • Cultural Fit:  Excels at identifying what needs to be done and takes initiative to complete tasks efficiently and effectively.
