As a Legal Assistant/Case Coordinator at Oliver Law Office, you will play a critical role in supporting our attorneys and ensuring the smooth progression of personal injury and product liability cases through both pre-litigation and litigation stages. Your meticulous attention to detail, exceptional organizational skills, and empathetic client interactions will be pivotal in delivering the high-quality legal services that our clients deserve.
What You’ll Do
- Case Management: Manage the overall flow and timelines of auto injury and product liability cases, ensuring that tasks such as requesting and compiling medical records, bills, and lost wage documentation are completed accurately and on time. Coordinate the preparation and review of settlement packages, including demand letters, and oversee their submission to adjusters. Supervise off-site medical request vendors if applicable.
- Legal Document Preparation: Draft and proofread review AI-assisted complaints, manage service of process for all new injury complaints, and prepare early discovery disclosures, including Civ.R. 26 initial disclosures. Schedule the Conference of Parties and coordinate written discovery, including Interrogatories, Requests for Production of Documents, and Requests for Admissions.
- Client Interaction: Serve as a key point of contact for clients, coordinating the collection of information needed for discovery responses, and guiding them through the case process. Ensure timely updates on case progress while maintaining a professional and compassionate approach.
- Document Management: Organize and maintain both electronic and physical case files. Utilize document management software, such as Filevine, to print and analyze reports on project statuses, case timelines, statutes of limitations, and settlement negotiations. Review and analyze documents produced during discovery, leveraging AI and other tools as needed.
- Trial Preparation: Coordinate trial preparation activities, including organizing exhibits, preparing witness lists, and managing communication with experts. Ensure all discovery supplements and materials are ready in advance of trial. Provide logistical support during depositions, hearings, and trials as needed.
- Administrative Support: Schedule calls and meetings with clients, attorneys, and experts. Attend Zoom conferences and assist with other administrative tasks. Communicate with clients, witnesses, experts, and other parties as directed by attorneys.
What We’re Looking For
- Experience: A minimum of 2–3 years in a plaintiff’s personal injury and/or product liability firm is required. Litigation experience is a plus, but not strictly required.
- Prior Roles & Legal Knowledge: Candidates may come from various roles such as paralegal, legal assistant, case manager, or records and billing coordinator, provided they have hands-on familiarity with personal injury and product liability workflows. Must be knowledgeable of key legal processes such as medical records handling, demand letters, subrogation, and case settlements/closings.
- AI & Technology Adaptability: Proven experience using AI tools for legal tasks such as document drafting, medical records review, and interrogatories. Demonstrated success in improving efficiency by leveraging AI while ensuring accuracy through careful review. Willingness to adopt and apply new technologies in a legal setting.
- Technical Proficiency: Proficiency in legal research tools and document management software, such as Lead Docket and Filevine. Above-average knowledge of Microsoft Excel and spreadsheets is required.
- Role Longevity: We are seeking a candidate who is looking for a long-term role and is committed to growing with the firm. Having a consistent work history with no more than two positions in the past five years is highly preferred.
- Organizational Skills: Exceptional ability to manage multiple cases simultaneously, maintain organized records, and adhere to strict deadlines.
- Communication Skills: Excellent written and verbal communication abilities, with a focus on clarity and professionalism.
- Team Collaboration: Ability to work independently and as part of a team, demonstrating flexibility and a commitment to maintaining confidentiality and handling sensitive information.
