At USA Employment Lawyers, the Legal Assistant/Paralegal plays a pivotal role in ensuring the smooth operation and success of our nationwide employment law practice. You will provide essential support to our attorneys through case management, calendaring, drafting, and client interaction, all while maintaining a high standard of organization and efficiency. What you’ll do:
- Case Management: Oversee all aspects of case progress by tracking tasks, deadlines, and timelines to ensure smooth and timely movement. Proactively identify and resolve potential bottlenecks, avoiding any delays that could impact outcomes.
- Calendaring and Scheduling: Maintain and manage the firm-wide calendar to ensure visibility and alignment on court dates, deadlines, and meetings. Keep attorneys and team members updated, ensuring nothing is missed and everyone stays on track.
- Case File Organization: Keep case files meticulously organized, ensuring that all records are current, accessible, and properly maintained. Support attorneys by providing quick access to all necessary documents during each phase of the case.
- Court Filings: Handle federal court submissions using PACER and CM/ECF systems with precision. Handle state court submissions using Clerk Odyssey and Florida E-Portal systems with precision. Ensure timely and accurate filing of all required documents in compliance with court rules.
- Drafting Support: Assist in drafting legal documents, including letters, motions for extension of time, and other filings. Ensure all documents are prepared accurately and in a timely manner.
- Legal Research: Conduct legal research as needed to support case development and attorney strategy. Provide well-organized findings to aid in effective legal decision-making.
- Client Interaction: Support attorneys in maintaining strong client relationships through clear communication and responsiveness. Assist in client updates and potentially take on a quasi-client relationship management role as the firm’s marketing efforts grow.
- Team Coordination: Collaborate with team members to ensure accountability and alignment on case-related tasks and deadlines. Help maintain momentum across the team by facilitating communication and supporting workflow efficiency.
What we’re looking for:
- Experience: Minimum 5-7 years as a Legal Assistant or Paralegal, preferably with plaintiff-side employment law or class action litigation experience.
- Litigation Support Experience: Experience handling discovery requests (compiling documents, drafting responses, and coordinating with clients), as well as organizing appellate briefs and compiling Tables of Contents and Tables of Authorities.
- Federal Filing Proficiency: Demonstrated expertise in PACER and CM/ECF e-filing systems, with a solid understanding of federal court procedures.
- Drafting Skills: Competence in preparing legal documents, with attention to accuracy and detail.
- Technical Skills: Proficiency in Westlaw for legal research, as well as Microsoft Office Suite and Adobe for document handling, is a must. Experience using Clio is highly advantageous.
- Language Skills: Bilingual in English and Spanish is preferred, allowing for effective communication with a diverse client base.
- Organizational Excellence: Proven track record of managing complex calendars, meeting strict deadlines, and supporting high-volume case loads.
