To support this mission, we’re seeking an Executive Assistant who will serve as the operational anchor for our founder and firm. This is not just a support role—it’s a critical position that ensures the day-to-day flow of leadership runs smoothly and effectively. From managing calendars and communications to coordinating travel, meetings, and key initiatives, this role enables our founder to focus entirely on advocacy, leadership, and client care. You’ll be the steady hand behind the scenes, ensuring priorities stay clear, details never slip, and our commitment to excellence is never compromised.
What you’ll do:
- Email & Communication Management: Own the management of inbox, filtering, prioritizing, and responding to emails when appropriate. Draft high-quality written correspondence with flawless grammar and attention to tone and context.
- Calendar & Scheduling: Manage an intensive and dynamic calendar with precision, including meetings, calls, and case-related events. Coordinate internal and external meetings with zero scheduling conflicts and full context briefing.
- Meeting Preparation & Follow-Up: Prepare all relevant documents, notes, and briefs in advance of meetings. Take detailed notes during meetings and extract clear, actionable items—calendared and tracked.
- Travel Coordination: Handle all logistics for travel (especially for multi-state trips), including flights, hotels, and itineraries. Occasionally accompany or drive the executive on regional trips to maximize productivity while in transit.
- Project & Task Oversight: Track and manage deadlines across various legal and operational projects. Provide support for firm-wide initiatives such as community engagement events or team development.
- Vendor & Office Support: Liaise with vendors (e.g., copier services, deliveries) to ensure the smooth operation of the office. Occasionally assist with personal errands to support the executive's ability to stay focused on leading the firm.
What we’re looking for:
- Experience & Skillset: 4+ years of experience in an Executive Assistant or high-level administrative role, preferably in a legal or professional services environment.
- Attention to detail: Meticulous written communication skills—grammar, spelling, tone, and detail must be impeccable.
- Operational efficiency: Strong organizational and time management skills with the ability to juggle multiple priorities.
- Tech Savvy: Proficient in Microsoft Office Suite—especially Outlook—with confidence in using project management and scheduling tools, and familiarity with legal CRMs like Filevine and Lead Docket as a plus.
- Discreet and trustworthy: Demonstrates a high level of integrity, with the ability to handle sensitive information discreetly and maintain strict confidentiality at all times.
- Proactive and self-motivated: A proactive self-starter who thrives working independently while remaining closely aligned with team objectives and firm-wide priorities.
- Calm executor: Maintains composure under pressure, with a sharp ability to anticipate needs and take proactive, precise action in fast-paced environments.
