As an Executive Assistant to the CEO who is the lead trial attorney of a 100 person corporate culture law firm, you will act as the right hand to the founding attorney, ensuring that operations run smoothly, priorities are executed with precision, and strategic initiatives are fully supported.  Your number one duty will be to create capacity for the CEO/owner of the law firm. This role is pivotal in streamlining executive functions, managing high-level projects, and providing seamless operational support to a firm that thrives on speed, efficiency, and high performance.

This is not just an administrative role—this is a high-impact position requiring a professional who can anticipate needs, make data-driven decisions, and operate with complete discretion in a fast-moving legal environment.

 

 

What You’ll Do:

Email & Inbox Management

  • Manage the founding attorney’s inbox with precision—triaging emails multiple times a day to maintain a clean and organized inbox.
  • Respond to routine or actionable messages, unsubscribe from unnecessary communications, and extract key information for follow-up.
  • Surface only high-priority or substantive emails that require the executive’s review, ensuring minimal distractions and maximum focus.

Executive Operations & Calendar Management:

  • Manage and synchronize the founding attorney’s calendar, coordinating court dates, leadership meetings, travel, coordination with the litigation team he runs, and external commitments.
  • Forecast upcoming priorities and plan 90 days ahead to prevent conflicts and ensure alignment with executive goals.
  • Send daily briefings with key agenda details, prep materials, and logistics.
  • Handle high-priority travel arrangements with efficiency and flexibility.
  • Serve as the gatekeeper to protect the attorney’s time and focus on high-impact activities.

Reporting & Cross-Department Coordination:

  • Coordinate the collection and delivery of recurring reports across departments, ensuring timely executive review of KPIs, project updates, and departmental forecasts.
  • Track and manage action items for direct reports, and assist in organizing and drafting SOPs, training materials, and internal documentation.
  • Collaborate with marketing and operations teams to gather data on lead generation, case outcomes, and performance metrics—flagging any KPI drops that require executive attention.
  • Support outbound marketing initiatives and referral campaign oversight, including email sequences, swag distribution, and event logistics.
  • Liaise with accounting to ensure timely delivery of cash flow statements, financial reports, and approvals needed for decision-making.

Project & Case Management Support:

  • Assist with strategic legal projects, including trial preparation, research, case documentation, and client communications.
  • Work closely with paralegals and attorneys to keep cases progressing smoothly and ensure optimal workflow between departments.
  • Utilize case management software and analytics tools to provide the founding attorney with real-time insights into case status, operational bottlenecks, and performance trends.

Operational Excellence & Proactive Communication:

  • Oversee and implement process efficiencies that streamline executive and firm-wide operations.
  • Serve as the primary liaison between the founding attorney, leadership team, and external stakeholders, ensuring seamless communication.
  • Anticipate needs and proactively address challenges before they arise, resolving issues independently without requiring executive intervention.

Technology & Automation Integration:

  • Identify and implement technology solutions including AI that improve efficiency, automate repetitive tasks, and enhance executive decision-making.
  • Ensure seamless integration of tools such as case management platforms, AI-powered legal research tools, and data analytics dashboards.

Personal & Professional Executive Support:

  • Provide comprehensive support with both professional and personal administrative tasks, including coordinating errands, managing vendors, and handling travel and event logistics.
  • Assist with personal budget tracking, bill payments, and oversight of memberships, licenses, and attorney profiles.
  • Maintain readiness of the executive’s office, send thank-you cards, gifts, and other relationship touchpoints as needed.
  • Uphold strict confidentiality while managing sensitive legal, financial, and personal matters.

 

 

What We’re Looking For:

Experience & Skills:

  • Proven experience as an Executive Assistant in a law firm or high-growth professional services environment.
  • Legal operations knowledge preferred, including experience working alongside attorneys and legal teams.
  • Exceptional organizational and multitasking skills, with a track record of managing high-stakes priorities.
  • Ability to operate at C-level executive support, managing strategic initiatives and critical decision-making processes.
  • Proficiency in microsoft windows and office applications (ie, office, powerpoint excel) case management software, calendar scheduling tools, and data analytics platforms.
  • Strong problem-solving skills and ability to thrive in a high-pressure, high-speed work environment.
