We are currently seeking a Scheduling Logistics Coordinator to serve as the central point of coordination for our busy legal team. This role involves managing calendars, court dates, depositions, and meetings with clarity and urgency while ensuring attorneys are prepared and cases progress without delay. It is a full-time position for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in being the steady hand that keeps everything running smoothly.
What you’ll do:
- Full-Spectrum Scheduling: Coordinate and confirm all key events, including client and doctor depositions, attorney meetings, discovery conferences, hearings, and surgeries. This responsibility spans multiple cases, calendars, and locations and requires exceptional attention to detail.
- Deadline Management: Maintain accurate tracking of all court deadlines, provide timely reminders, and ensure every event is accurately entered into our CRM, Asana, Outlook, and firm calendars. Your diligence will help keep attorneys organized and fully informed.
- Logistics Coordination: Assess attorney travel feasibility, resolve conflicts between court appearances and client meetings, and anticipate potential bottlenecks before they arise.
- Inbox & Info Triage: Monitor and prioritize scheduling requests and legal correspondence; route critical documents and information to the appropriate parties with urgency and accuracy.
- Follow-Up & Compliance: Own the full follow-through process—ensuring meetings happen, records are sent, confirmations are received, and cases move without delay.
- Calendar Control: Maintain full visibility over internal and external events, ensuring nothing slips through the cracks and no court date, deposition, or deadline is ever missed.
- Team Collaboration: Work hand-in-hand with attorneys and paralegals, stepping in proactively to support their needs and eliminate logistical friction.
What we’re looking for:
- Experience: 3+ years in a law firm, medical office, or fast-paced operations role involving complex scheduling. Legal or medical scheduling experience is strongly preferred.
- Personality Fit: Type-A, hyper-organized, high follow-through, unafraid of high stakes or strong personalities. You take pride in being the one everyone can count on.
- Communication Skills: Strong communication skills, with the ability to follow up effectively, provide timely updates, and handle scheduling challenges with professionalism and poise.
- Problem-Solver: You’re proactive in identifying and resolving scheduling challenges, always anticipating what’s next and maintaining composure in high-pressure situations.
- Tech Proficiency: Must be fluent in Asana, Slack, Outlook, Adobe, Word, and CRM/email/fax systems. You’re confident navigating multiple platforms quickly and accurately.
- Ownership Mentality: This isn’t a back-office job. You’re a leader in logistics, a driver of momentum, and the glue between our attorneys, clients, and partners.
