At The Greening Law Group, the Onboarding Specialist plays a vital role in ensuring every prospective client feels heard, informed, and cared for from the very first interaction. This is more than an administrative position — it’s an opportunity to guide individuals in crisis toward clarity and legal protection. You’ll be responsible for managing intake conversations, capturing crucial details, scheduling attorney consults, and ensuring no opportunity to serve goes unnoticed or untracked. You will serve as the bridge between initial inquiry and attorney engagement, shaping the experience and outcome for every future client.
What you’ll do:
- Client Engagement & Scheduling: Engage with prospective clients to gather key case details, answer initial questions, and efficiently schedule consultations to move their case forward.
- Phone & In-Person Support: Take client calls, conduct timely follow-ups, and offer in-person support at the office — ensuring no communication is missed and every client receives prompt, attentive follow-through at all times.
- Client Conversion: Maintain a sales-minded approach to intake by confidently guiding prospective clients through our process with empathy and professionalism. Help each individual feel fully supported from the first interaction—clearly communicating the value of our firm, answering questions with care, and ensuring they understand every next step in a seamless and reassuring manner.
- Correspondence & Contract Support: Draft professional client communications and assist in preparing legal contracts under attorney guidance, ensuring clarity, accuracy, and a high standard of quality in all written materials.
- File & CRM Management: Organize and maintain accurate client records by managing files, databases, and CRM entries, ensuring all information is complete, up to date, and easily accessible to support a smooth intake process.
- Cross-Department Collaboration: Collaborate with attorneys, paralegals, and reception to coordinate across departments and deliver a smooth intake experience.
- Process Improvement: Support the overall intake strategy through participation in team meetings, brainstorming improvements, and identifying better ways to support prospective clients.
What we’re looking for:
- Client-Facing Background: 2+ years in a client-facing role such as customer service, sales, or administrative support. Intake experience within the legal industry, especially in criminal defense law, is highly advantageous.
- Language & Communication: Bilingual fluency in English and Spanish with strong written and verbal communication skills, enabling clear and professional client interactions across diverse backgrounds.
- Emotional Intelligence: Ability to remain calm, empathetic, and composed under pressure, creating a supportive experience for clients during highly emotional or stressful situations.
- Problem-Solving & Critical Thinking: Sharp analytical skills and sound judgment, with the ability to assess situations quickly and contribute to effective solutions.
- Operational Accuracy: Highly organized with a keen eye for detail and a strong commitment to maintaining accurate documentation and upholding process integrity.
- Technical Skills: Proficient in Microsoft Office and Google Workspace. Experience using CRM, case management, and call handling software — such as Lawmatics, Clio, and similar platforms — is a plus.
- Legal Writing: Willingness to learn how to draft legal contracts and assist with writing or editing firm documents, with on-the-job training provided.
- Work Ethic & Growth Mindset: Proven history of strong work ethic, goal-driven performance, and upward growth. Self-starter who learns quickly and thrives in fast-paced, evolving environments.
- Leadership & Teamwork: Demonstrated leadership potential and ability to collaborate effectively within a team environment, contributing to shared goals and a positive workplace culture.
