At the Law Offices of Felix M. Caceres II, P.A., the role of Executive Assistant is essential to maintaining the smooth operation of the firm and enabling our founder to focus on legal advocacy and client service. This is not simply a support role—it is a critical partnership. You will manage the executive’s calendar, communications, client coordination, travel, projects, and administrative processes with meticulous attention to detail. Your work will ensure priorities stay sharp, time is used wisely, and the firm’s commitments to its clients are fulfilled without compromise.



What you’ll do:

  • Calendar & Time Management: Own and optimize the executive’s calendar, ensuring seamless scheduling of meetings, appointments, and events without conflicts. Prioritize daily activities to maximize productivity, eliminate low-value tasks, and protect executive focus. 
  • Travel & Personal Task Management: Coordinate all aspects of travel logistics including flights, accommodations, transportation, and detailed itineraries. Be present and available during travel coordination to meet real-time needs. Manage personal tasks and appointments such as medical visits or errands to support professional and personal balance.
  • Project & Financial Management: Provide project management assistance for ongoing initiatives, including construction projects, legal projects, and internal operations. Support financial monitoring, helping track expenditures and report on financial progress related to projects and firm operations.
  • Client & Network Coordination: Manage client follow-ups to ensure timely communication and case progression. Support the client journey from intake to completion by updating records and communicating professionally and warmly. 
  • Meeting & Communication Coordination: Schedule, coordinate, and prepare materials for both internal and external meetings. Help manage email communications with clients and internal stakeholders, ensuring clarity, professionalism, and promptness.
  • Problem Solving & Customer Service: Proactively identify and solve problems to remove operational obstacles. Act as a point of contact for client inquiries, providing responsive, high-quality customer service. Provide phone system assistance by organizing and directing calls efficiently.

 


What we’re looking for: 

  • Experience: 4+ years of experience in an Executive Assistant or high-level administrative role, preferably in a legal or professional services environment. 
  • Bilingual Communication: Fluent in both Spanish and English, with strong verbal and written communication skills to effectively engage with diverse clients and team members.
  • Operational Efficiency: Demonstrates exceptional organizational and time management abilities, effectively balancing multiple priorities in a fast-paced environment.
  • Attention to detail: Meticulous written communication skills—grammar, spelling, tone, and detail must be impeccable. 
  • Tech Savvy:  Ability to work within CRM systems (CLEO currently, transitioning to Leap) to update records and manage workflows.
  • Discreet and Trustworthy: Maintains strict confidentiality and demonstrates unwavering integrity when handling sensitive information, earning trust through professionalism and discretion.
  • Proactive and Self-Motivated: Takes initiative and works independently with minimal supervision, while staying aligned with team goals and contributing to overall firm success.
  • Collaborative and team-oriented: Team-oriented and collaborative, with a strong ability to thrive within a close-knit, high-performing work environment.
