We are seeking an Operations Manager who will serve as the central connection point between team leaders and firm leadership—ensuring that pod performance, morale, and deliverables stay on track. This role is designed to remove the burden of internal operations from the Managing Partner, allowing her to focus on high-level vision and leadership.

You’ll own the day-to-day oversight of pods, guide pod leaders, enforce KPIs, and optimize internal systems. Your job is to make sure the team operates efficiently—and that challenges get solved without always escalating up the chain.



What you’ll do:

Team & People Management

  • Serve as the primary point of contact for team-related concerns before they reach firm leadership.
  • Support and coach pod leaders in decision-making, delegation, and team communication.
  • Lead internal team meetings to promote alignment, track progress, and reinforce firm goals.
  • Own vacation scheduling, team logistics, and shift coordination—reducing distractions for leadership.
  • Monitor team dynamics and morale, resolving interpersonal issues proactively.

Operational Oversight & Coordination

  • Manage the daily operational flow across pods and departments.
  • Track case movement, deadlines, and internal handoffs to minimize delays and ensure consistency.

  • Act as the bridge between the team and leadership—filtering, organizing, and escalating only when necessary.
  • Proactively identify areas where pods or staff need additional support or clarification.

Process & Systems Optimization

  • Create, refine, and implement Standard Operating Procedures (SOPs) for internal workflows.
  • Oversee systems related to hiring, onboarding, vacation requests, and staff management.
  • Evaluate current processes and implement improvements based on team feedback and firm needs.
  • Maintain high follow-through to ensure procedural updates are adopted and adhered to.

KPI Tracking & Strategic Support

  • Collaborate with leadership to define baseline KPIs across pods and departments.
  • Monitor performance metrics consistently and follow up to ensure goals are being met.
  • Analyze operational trends, identify bottlenecks, and report findings with actionable insights.
  • Align team efforts with strategic objectives by reinforcing a culture of accountability and data-driven decision making.

Cross-Functional Support

  • Ensure smooth communication between intake, legal, and support teams.
  • Lead pod leader syncs and department-wide updates to prevent silos and encourage transparency.
  • Manage HR-adjacent tasks such as onboarding new hires, offboarding, performance feedback cycles, and scheduling.
  • Provide occasional support in tracking firm-wide initiatives like social media data and outreach alignment.

Vendor, Billing & Admin Oversight

  • Collaborate with vendors to maintain operational support, contract alignment, and performance standards.
  • Negotiate and oversee service agreements to ensure optimal value and delivery.
  • Assist with billing coordination, administrative workflows, and documentation accuracy.
  • Maintain internal systems, tools, and services essential to day-to-day operations.

 


What we’re looking for: 

  • Experience: 3+ years in operations, administration, or team leadership (preferably in a legal or fast-paced service environment). Proven ability to manage people, projects, and performance without micromanaging.
  • People Leadership: You have a strong presence and can hold people accountable without drama. You know how to build trust and keep teams on track.
  • Communication: Strong written and verbal communication skills. Clear, calm, and assertive. Bilingual in Spanish is a bonus.
  • Systems & Tools: Familiarity with platforms like Clio, Docketwise, Office 365, or other project and operations tools is preferred.
  • Mindset: A proactive, resourceful problem-solver with a bias toward action and a steady hand under pressure.
  • Follow-Through: You see things through. Period. Loose ends are not your style.

  • Health, Dental, Vision Insurance: Choose between plans where the company pays 50% of the cost. Eligibility begins 30 days from the date of hire.
  • Paid Time Off (PTO): Team members enjoy 10 days of paid vacation per calendar year, with the ability to accrue and roll over vacation days.
