Rosen Saba is seeking a seasoned Operations Manager to partner directly with our leadership team and lay the foundation for scalable growth. You will design and implement firm‑wide protocols, optimize administrative workflows, and serve as the central point of coordination between our attorneys, staff, and key external partners. This is a hands‑on, high‑impact position that will enable our partners to focus on practice development and trial excellence.
What you’ll do:
Foundation & Protocol Development:
- Create, document, and maintain standard operating procedures (intake templates, employee handbook, intake-to-litigation workflows).
- Partner with leadership to establish and track KPIs for attorneys and staff, ensuring measurable performance improvements.
Administrative & Vendor Management:
- Oversee all firm vendors (insurers, IT providers, telecom, office services), negotiating terms and ensuring reliable service.
- Manage facilities needs, including parking coordination and office maintenance across locations.
Staff Leadership & Hiring:
- Lead recruitment, onboarding, and training for new hires: finance specialist, legal secretaries, attorneys, and future roles.
- Coach and mentor administrative and legal support teams, fostering accountability and professional growth.
Technology & Innovation:
- Champion the adoption and integration of legal technologies (Microsoft 365 suite, iManage, Westlaw, AI‑powered research tools) to boost efficiency.
- Monitor emerging platforms and recommend investments that align with operational goals.
Attorney Operations Partnership:
- Act as the “eyes and ears” for the partners—ensuring timely time‑entry compliance and facilitating smooth communication.
- Serve as the primary buffer between partners and staff, resolving day‑to‑day issues and escalating strategic matters.
What we’re looking for:
- Experience: 5+ years in operations leadership, ideally within a law firm or professional services environment; startup‑style execution background a plus.
- Process Expertise: Proven track record building protocols and procedures from scratch, with strong project‑management skills.
- Tech Savvy: Advanced proficiency with Microsoft 365, Westlaw, document‑management systems (iManage preferred), and familiarity with AI/automated tools.
- Leadership & Communication: Exceptional ability to influence across all levels—partners, attorneys, and support staff—while maintaining professional discretion.
- Legal Acumen: Familiarity with civil‑litigation workflows and KPIs; direct law‑firm experience is helpful but not mandatory.
- Personal Attributes: Highly organized, solution‑oriented, and comfortable in a fast‑paced, evolving environment.
